Best solution for Excel files as a source/Gateway/Refresh limit

Hello,

I have a datasource with several excel files which are stored at a restricted network disk. The computers which has acces to that folder have a restricted office licens, these are organisational, not personal accounts. They have PowerBi, but no OneDrive App. My initial thought was to automate a copy from that network to the OneDrive from that computer to make the files accessible for PowerBi, PowerAutomate etc. Since there is no way to get OneDrive for organisational accounts I heard of using a Gateway instead. 

Would that solve the problem?

 

The other thing is that I need 4 refresh per hour. Is the 48 limit also the limit for the gateway method?

    Hi Applicable88 ,

    If the dataset resides on a Premium capacity, you can schedule up to 48 refreshes per day in the dataset settings. For more information, see Configure scheduled refresh later in this article. Datasets on a Premium capacity with the XMLA endpoint enabled for read-write support unlimited refresh operations when configured programmatically with TMSL or PowerShell.

    • Once assigned the App Workspace should have the PPU Icon as shown below.
    • you can go into the dataset settings

    It sounds to me firstly that you will need Power BI Premium Per User or Premium if you want to refresh more than the 8 times with Power BI Pro!

     

    Next back to your question, if the gateway can access the files then you can refresh the data via the gateway as often as you like. There is no need for office to be installed on the gateway server, because it just reads the contents of the file and does not actually open it on the gateway.

      Hello GilbertQ , thanks for the reply.

      We have powerbi pro license user, but we also have premium workspace. At least in the manual refresh schedule settings we can make up to 48 times per day. So i guess it counts as Premium license. 

       

      If the gateway is not influence by that, where to set the refresh intervall within the gateway software?

    Hi Applicable88 , 

    What is your connection way? 

    It is caused by the connection mode. If the dataset is DirectQuery mode,  we can configure refresh frequency. However, for Import mode, we just can configure the specific datatime, like below. You could add the time to refresh 8 times in one day.

    For Power BI users, refreshing data typically means importing data from the original data sources into a dataset, either based on a refresh schedule or on-demand. You can perform multiple dataset refreshes daily, which might be necessary if the underlying source data changes frequently. Power BI limits datasets on shared capacity to eight daily dataset refreshes. The eight time values are stored in the backend database and are based on the local time zone that was selected on the Dataset Settings page. The scheduler checks which model should be refreshed and at what time(s). The quota of eight refreshes resets daily at 12:01 a.m. local time.

    If the dataset resides on a Premium capacity, you can schedule up to 48 refreshes per day in the dataset settings.

      Anonymous thank you for your thorough answer. So besides DirectQuery Mode there is no method to get more than 48 refreshes per day? We have premium capacity which includes 48 already. But we need 4 refreshes in an hour.
