Table Report Best Practices

Greetings everyone!

 

My client area wants a report having bIasically a table with some filters, so that he can extract the table in excel 🙄

 

The report will be posted in my premium workspace, so that the client area can access it normally.

 

Any best practices I can follow? Or should I simply put the table visual with the columns he wants and some filters on the page, and publish it in the environment.

Thanks for reaching out to the Microsoft fabric community forum. 

 

1. Use a Table or Matrix Visual: Stick to a Table if they just want rows/columns without drilldowns. Matrix if you think they might benefit from expandable rows or columns later.

2. Slicer Setup : Add slicers for key dimensions (e.g., Date, Region, Product, etc.) so the client can filter the table before export. Use dropdowns or relative date filters to keep the UI clean.

3. Export-Friendly Design : Keep the table visual unstyled and clean — no conditional formatting or excessive wrapping.
Avoid too many columns — large exports can get messy or truncated.

4. Column Naming : Make sure column headers are human-friendly and match client terminology. No techy field names like cust_id or trx_amt unless they asked for it.

5. Publish & Permissions : Post it in the premium workspace as planned, and make sure the user has Build or Viewer role, depending on whether you want them to customize filters or just view/export.

6. Export Instructions: Consider adding a small tooltip or text box on the report page that says:

“Use filters above, then click the three dots on the table to export to Excel.”

 

What Not to Do:

Don’t overcomplicate the visuals.

Don’t hide the export option (some visuals don’t allow exporting — table is your safest bet).

Don’t overload the page with too many slicers if the user isn’t data-savvy.

Avoid excessive formatting (e.g., color coding, icons) if the main goal is export to Excel, as these won’t always translate well.Limit the number of columns to what's needed for the export.

Use slicers or filters to allow the client to select specific data before export.You could also add a date range slicer, dropdowns, or multi-select slicers based on their needs.

 

Avoid unnecessary visuals that could confuse or distract the user.Keep the layout simple, focusing on the table and filters.
