How to update the list connected to my dataset without updating the dataset

Hi There,

I maintain a yearly report in my organisation, the report is pulling data from SharePoint lists. The business wants to keep the 2020 data and therefore have created new lists for the 2021 report. The lists have exactly the same columns. Is there any easy way to make my report datasets (tables) to point to the 2021 lists without having to redo all the visualss? all the lists are hosted in the same SharePoint site.

Hello @Anonymous ,

you can go to Power Query within Power BI and change the data source to the new Share Point list.

Then the data should be loaded from the new list instead of the old one.

You could also combine both lists and in the report select with a date slicer.

Hi @selimovd, Thanks for your prumpt reply. I did open Data Query and selected Data Source Settings, when I do so it request to enter a new data set, I entered my site url and click change sources, then selected the 2021 tables but this add the new tables to my power bi desktop to be used in new visuals it doesn't replace my 2020 dataset with the 2021 dataset. My visuals are still showing the 2020 data. Do I have to redo all the visual with my 2021 datasets?

Hi @Anonymous ,

in Power Query go to your existing query and click the gear icon.

There you can change the URL to your new source. Also all the visuals will be based on the same data source:

The Source field requires a site url but my site is the the same so nothing changes when I type in again the site url. I think that my problem is that both my old lists and new are hosted in the same site (with different names but same structure). Is there any option to connect the powerbi tables and visuals to another list in the same dataset?

If I try to enter the list url it gives an error.

Hello @Anonymous ,

yes, the URL in the first step is the same. In the second step "Navigation" you have to chose the right sharepoint list:

In the second step you can change your data source.
