How to Export Complete Table Details in Report View to PDF

The table in Report View contains 4,835 line items, but when exporting to PDF, only a single page is generated. How can we export the full table details to PDF? All visualizations in Report View need to be converted to PDF for hardcopy submission.

Hi @Brittany2025 

 

Power BI exports only a snapshot of the report to PDF. You will need to create a paginated report in Report Builder if you want all the rows in the visual to be exported.

Exporting to PDF has some considerations and limitations, please refer to

Export reports to PDF - Power BI | Microsoft Learn

It mentions this:

Visuals with scrollbars are exported in their default state. The visual displays all possible rows, starting with the first row. Even if you have the visual scrolled down, when exported, the visual displays unscrolled.

If you want to export all data, please try export data from a visual instead of exporting to PDF.
