Advice - configuring user-level permissions from multiple places

Hi everyone,

 

I have a Power BI report.

 

  • The data source is a SharePoint list
  • The Power BI report is integrated with a Power App
  • The report is also set up with role level security

 

To set up users with this report, we need to:

 

  1. Grant access to the SharePoint site (the data source)
  2. Share the Power App (linked to the same SharePoint site)
  3. Share and set up access to the Power BI report
  4. Add each user to a role set up via RLS

Is anyone aware of a more efficient way to set up user access rather than repeating these 4 steps each time we need to set up a new user?

Hi @imranamikhan 

In order to ensure information security, every step is necessary.

I think you can combine the steps in step3 and step4.

If your report is in new workspace (classic workspace doesn't support add groups in it. ), you can add groups in new workspace and then add this group as a role in RLS.

Every time you want to add new users, you can add the new user in your group instead of adding them as a member in the worksapce and add them as a role in RLS.

Gourps which can be add in new workspace and RLS at the same time.: Distribution List group / Mail-enabled-security group / Security group
