"Data Exceeds Limit" Error Message in PBI Service

I have a report with a matrix visualization that users would like to export. The matrix at it's maximum often exceeds the 150k data intersection limit and PBI then does data sampling. My issue is that when I use the report in PBI desktop, I get a helpful warning message before I export. Unfortunately, my users who are accessing the report through the app in PBI service get no such warning. They dont know that they have exceeded the limit unless/until they do a comparison after the export. Then they have to refine their filters and try again. It's a very tedious process that could be made easier if they could get a warning before the export. My PBI admin believes there is nothing that can be done about this. I figured I would ask here to find out if that is indeed the case. Is there any way to turn on the "Data Exceeds Limit" error message in PBI Service?

That is correct, the notification doesnt exist in power bi service.. One thing you could do is create a card that count the no of rows. And if this number is above the limit, then it is an indication that it will not be complete when exported.

Hi @krissgab ,

Thanks for reaching out to the Microsoft fabric community forum.

Currently, Power BI Service does not have a native feature that automatically displays the "Data Exceeds Limit" warning message when users attempt to export data from a report. Unlike Power BI Desktop, this warning message is absent in Power BI Service. When users in Power BI Service export data exceeding the 150k intersection limit, the data is sampled without any notification, leaving users unaware unless they perform a comparison.

You could provide users with guidance on how to avoid data export issues. As @SaiTejaTalasila and @Tutu_in_YYC mentioned you should create a custom message or warning within the report to inform users about export limits. This can be achieved by adding a text box or a visual element in the report that alerts users to the export limitations and advises them to refine their filters before attempting an export.

I recommend submitting it as an Idea in the Power BI Ideas forum, where Microsoft reviews suggestions for future improvements , here is a link :

Thanks for the reply! The issue with creating a card is that the documentation indicates that a matrix vizualization may have more than one intersection per row and that will affect export count. The calculation does not seem entirely forthwright to me. But knowing that I cannot take advantage of the calculation PBI is already doing (*sigh*), I guess I will pursue figuring it out. I appreciate your help!

Hi @krissgab ,

You can create text box and mention a note at the bottom of your page.

Thanks,

Sai Teja

oh yeah, you are right. Have you considered letting the user connect to the semantic model through an excel file so they can visualize the full matrix themselves locally?

Yes, we give certain power users this kind of access. But the data is in a tabular model and granting access via excel is just too complicated for most users. They dont need access to 10 tables and 1M+ records. They need one table (already combined for them) with 300k rows. Of those two options, Im sure most of the users would prefer to continue doing what they do now (export and verify). It's tedious but it works. I will a calculation to try to fashion som sort of warning for them. Thanks!
