Workspace viewer cannot see report links that create under "specific people"

Hi All,

 

I have premium workspace and I'm the admin, other 3 colleagues had workspace viewer role.

 

Normally i publish report link under "people in your organization", then all 3 colleagues can see all reports when they login Poewr bi (below) ; people with access under specific report (non-workspace viewer) can see only corresponding report.

Recently, i create a report link under "specific people", I didn't add the 3 colleagues business email in "Manage Access" as I think they're already workspace viewer so can view all reports in workspace, and i find out 1 of the 3 colleague under workspace viewer role cannot see the report shown up (report name doesn't shown up for them to chose, NOT cannot view report info) when login Power bi.  But they can see the report when I send them the link.

 

I just want the 3 "workspace viewer" role colleagues can view all report when they login Power bi, but not need to save each report link else where.  Is it relate to I didn't add them in "Manage access" under "specific people" link ?

Based on your problems, here are my answers.

You can do the problem solving in the workspace of Power BI service.

Click the three dots next to the workspace viewer role. Choose Test data as role. You can take a look about this document: Solved: Viewing a report as a role in PBI Service - Microsoft Fabric Community

 

If your reports use RLS, ensure that the workspace viewer role is correctly configured in the RLS rules.RLS might restrict data visibility based on user roles, so double-check the RLS settings for your reports.

 

Finally you can adding your colleagues to the “Manage Access” under “specific people” link should not be necessary if they already have the workspace viewer role :Troubleshoot sharing dashboards and reports - Power BI | Microsoft Learn

What happens when the three business users access the app workspace link? Can they then see the three reports?
