Sharing dashboard - Pro user to free users

I have a Pro License under my organization account and I created the dashboard.

I've tried to share it with a colleague logged in with his organization account (free PBI account) but while opening the report it asks for a Pro license, giving this info:

"This feature is only available to users with a Power BI Pro license. When you upgrade, you get access to collaborate with others and distribute content. Upgrade today or try it free for 60 days."

What am I doing wrong?

Hi, @some1else

With sharing, whether you share content inside or outside your organization, you need a Power BI Pro or Premium Per User (PPU) license.

Your recipients also need Power BI Pro or Premium Per User (PPU) licenses, unless the content is in a Premium capacity.

You can refer to the following methods to share your reports and dashboards:

1. First, you can put the contents of the workspace into premium capacity:

Purchase Power Bl Premium: https://docs.microsoft.com/power-bi/admin/service-admin-premium-purchase

Assign a workspace to a capacity:    https://docs.microsoft.com/power-bi/admin/service-admin-premium-manage#assign-a-workspace-to-a-capac...

2. If you want to share it with users outside the organization, you can try this method:

https://docs.microsoft.com/power-bi/admin/service-admin-azure-ad-b2b

The guest user must have the proper licensing in place to view the content that you shared.

There are a few ways to make sure the user has a proper license: use Power BI Premium, assign a Power BI Pro license, get a Premium Per User (PPU) license, or use the guest's Power BI Pro license.

3. If you don't want to buy Premium and Pro licenses, you can try publishing to the web.

However, when you use Publish to web, anyone on the Internet can view your published report or visual. This method is not safe.

Publish to Web: Publish to web from Power BI - Power BI | Microsoft Docs

With Webdashboard you can easily share your Power BI reports and dashboards, with an intern and external users. All you need is an e-mail address. You can try Webdashboard for 30 days and if you need any help, they will quickly react. It's available at the Microsoft App Source and for more information, you can visit the website: www.webdashboard.com

Hi @some1else

When sharing reports or dashboard the other users would need to either have a Power BI Pro license. Or you would need your App Workspace to be in a Power BI Premium Capacity which would allow you to then share the dashboard/report with a free user.

I've now realized this, misread the information on documentation. For testing purposes I've shared the report with a Pro user, but all of the visuals show the message "View details", without any data/graphs being shown. Any ideas?

Hi @some1else

Can you make sure that the other user only has got a Power BI Pro license. If a user has a Power BI Free and Power BI Pro I have seen that error occur.

@some1else  - Make sure the other person has a Pro license or a free license under premium capacity assigned.  Worth checking with your IT team to check rearding the licese assigned to the user.
