Share report with Users

Hi

I created a report with a Pro License and iwould like to share it with free users. I read that i need to publish the report in a premium capacity workspace in order to be to have access free users as well in the report.

As i saw Premium capacity license cost a lot (6000 something like that). So should i buy that license in order to be able to share  my report with free users in my organization ? Is there any other way to share it ?

Thanks.

Hi @pbi1908

No, Reports published to web are placed on app.powerbi.com and are accessible to anyone with the URL. This site is also crawled by search engines so anyone can search them, put "site:app.powerbi.com burningsuit" into a search engine to see what I mean.

If you want to have secure access to your data, get the users a Pro licence.

Hope this helps

Thanks for your answer.

Is there a way to apply restrictions with development on the web. I mean i will publish to web and i will share a link with my coleagues to see the data as i understood.

Is it possible to with development from our IT team to apply restrictions to that link, restrictions like to nees a password in order to see the data?

Hi @pbi1908

To share with users without a licence your only option from a Pro licence is to use "Publish to Web".

See: Publish to web from Power BI - Power BI | Microsoft Learn

You can use "Publish to web" provided you are aware of the warning at the top of that article, "anyone on the Internet can view your published report or visual." So don't publish sensitive or proprietory data in that way, and be aware of your data security obligations. You also can't use Row Level Security with "Publish to web". So if you don't care that the whole world may see your data go ahead.

Note that because of these security issues "Publish to Web" requires your local Adminstrator to turn that option on, so you may not see it in your tenant.

If  you have a small number of users (<500) you may find it cheaper to buy a Pro licence for each user rather than a Premium Capacity.

Hope this helps
