Report sharing

Hi power BI community, I need help to understand the power BI license managment.

I've a "Premium per user" license, I need to share my report with other members of my organizations (the tenant will be the same), but the other members of my organization have a power bi free license.

There is a way to share my report with other members?

I've try with apps, with sharepoint or with teams but when you try to enter to the report the pop-up message of trial license activation always appears.

I've read in documentation and it seems to be that the only way is to activate a "Premium per capacity" license.

Thanks for any help!

Hi @fabriziopaulon ,
You can't share your reports with other free license users even if you have the Premium Per User(PPU) license.

You can leverage a lot of additional Premium functionalities with the PPU but sharing with Free users is still not an option because it won't be feasible for Microsoft costing.

For sharing with other users, you will still require Premium Per Capacity license or the users should have PRO License.

Another option would be "Publish to web" option but make sure sensitive data is not displayed since anyone with the link would be able to view report.

Hi,@fabriziopaulon

With sharing, whether you share content inside or outside your organization, you need a Power BI Pro or Premium Per User (PPU) license.Your recipients also need Power BI Pro or Premium Per User (PPU) licenses, unless the content is in a Premium capacity.

You can refer to the following methods to share your reports and dashboards:

1.First, you can put the contents of the workspace into premium capacity

Purchase Power Bi Premium: https://docs.microsoft.com/power-bi/admin/service-admin-premium-purchase

Assign a workspace to a capacity:    https://docs.microsoft.com/power-bi/admin/service-admin-premium-manage#assign-a-workspace-to-a-capac...

  1. If you don't want to buy Premium and Pro licenses, you can try publishing to the web. However, when you use Publish to web, anyone on the Internet can view your published report or visual. This method is not safe.

Publish to Web: Publish to web from Power BI - Power BI | Microsoft Docs

Hi there just to clarify

If you use a PPU license and App Workspace, all users who want to consume reports in the PPU App Workspace will require a PPU license.
