Regarding Power BI Pro Storage and Workspace Ownership

Hi All,

 

We have a Power BI Pro license (ID: Pro) and we are admins in the organization. Our team needs to have control over all workspaces, so we are taking ownership of all existing workspaces and removing admin access from the respective workspace owners.

Now, my concern is: If we take over ownership of all the workspaces and create new workspaces only for other teams, can we face any storage issues considering the Power BI Pro storage limit of 10 GB?

For example, if I create 10 workspaces, will the 10 GB storage be allocated equally across each workspace (e.g., 1 GB per workspace)?

Additionally, when creating a new workspace for any user, what factors should we consider to ensure that they can use their Pro license effectively and get the full 10 GB storage allocated?

The 10 GB limit for a pro License is only for personal storage in your My Workspace.  There is no per-workspace storage allocation under Pro; workspaces themselves do not get their own quota of 10 GB.

 

Workspace storage is governed by your tenant’s overall storage

As correctly explained by @andrewsommer , the 10 GB storage limit under a Power BI Pro license applies only to individual My Workspaces. Shared workspaces, including those you create for teams, use the tenant’s overall Pro storage pool not 10 GB per workspace.

 

If you're creating multiple workspaces, they will all share the tenant’s total Pro storage (typically 10 GB). To avoid capacity issues, consider monitoring usage via the Admin Portal and, if needed, explore Premium Per User (PPU) or Premium capacity options for expanded storage and scalability.

You mean to say that tenant’s overall storage is used for all the workspaces right.Lets say I have 10 users with 10 workspaces and all these 10 workspaces get the storage from tenant’s overall storage right ?


Yes, if they are workspaces you create then they are limited by the tenant’s overall storage limit.  Those users “My Workspaces” limit will be based on their license type
