Question - Power BI Free User Access to Embedded Power BI reports in Sharepoint

Dear Power BI community,

I (a premium user of Power BI) have designed a couple of reports for Power BI free users within my organisation. These have been shared as embedded reports in our shared sharepoint site. On sharing the link to the report, the free users noted they were granted a free trial of a Pro BI license. I am now worried that after 60 days, as free users, they will no longer be able to view my embedded reports on sharepoint. Is this the case or will Free Users of Power BI within my organisation still be able to view the embedded reports in sharepoint indefinitely? If not, how can I share these reports with them?

Furthermore, I also need to create reports for our suppliers to access who are outside our organisation. What is the best way to share power Bi reports to users external to your organisation? (We won't be paying for their licenses).

Thank you so much for your help.

Free licence holders will only be able to view content shared with them (no matter how it is shared) that is on a Premium Capacity workspace. If the Workspace is a Pro workspace, then users will need a Pro licence to view, if a Premium Per User workspace they will need a PPU licence to view. By the sound of things you have placed the content on a Pro workspace, so users without a licence were offered a free trial of a Pro licence which is necessary for them to view the content. After 60 days this will revert to a Free licence and they will not be able to see content on a Pro workspace.

    Sharing with external users

See: Distribute content to external guest users with Azure AD B2B - Power BI | Microsoft Docs

    hope this helps

      Hi Stewart,

Thanks for your reply. If I'm understanding this correctly, if I upgrade my license to a premium license, it will solve all my problems by allowing my content to be consumed by free BI users including those outside of my organisation Is that right? If I get a premium license will that automatically grant me access to a premium capacity workspace?

      Thanks so much again.

        Hi Anonymous

Yes, a "Premium Capacity" licence will allow access by Free users. Note: A "Premium Per User" licence does not.

        Hope this helps
