PowerBI not showing folders from sharepoint.

Hello Everyone,

I am working on project where files are saved in Share point folders.
Few days back i was working on one project and was trying to access excel sheet from sharepoint. I tried all possible ways for 3 days and it didnt worked, It was not showing whenever i used to serach ( i used all correct path, credentials, file names). But on 4th day it suddenly started showing up (with the same method i was using before).
Then i realise power bi somethimes dont show new files immediatly( even we do some changes it wont).
Now i am working on another project for that i have created file on sharepoint  5..6 days back and in that folder, new excel sheets downloads everyday ( i.e, my folder is updating everyday).  and since last 4 days i am seraching for folder on power bi and its not showing up. whenevr I serached for it it says "empty", I tried advanced editor as well to get data but still not working.
I am curious is that because i am updating folder everyday? if thats the case how it works? I am little worried as well as stressed, Not getting any solutions for this and my deadline for project is in few days.

Thanks

Hi @Pranoti98 ,

Thank you for the update. Glad to hear the issue has been resolved and the report is displaying correctly now. Delays can happen due to backend refresh or cache propagation, so your observation is understandable.

Thanks for sharing the outcome it’s helpful for others in the community.

Hello !

This happens a lot with SharePoint and it’s usually URL/auth/caching rather than the files needing time to appear. Updating the folder daily is fine, PBI should still see it immediately once the connection is correct.

When you connect, try to use:

https://<tenant>.sharepoint.com/sites/<SiteName>

and do no not paste a library or folder URL like .../Shared%20Documents/YourFolder/Forms/AllItems.aspx.

After connecting, you’ll see a long list of files so don’t click through the navigator just open PQ and filter by folder path or name with folder.

Heya, Yes I am using same structure of url to connect still not able to see the file i want, I can see all other files but not new one's. And I have all the credentilas/ Authentication for specific file as I am the owner.

Hi @Pranoti98 ,

Thanks for confirming. This issue often occurs when working with SharePoint folders in Power BI, particularly if new files are frequently added. It’s typically not a delay in Power BI detecting files, but rather related to caching, metadata synchronization, or the URL format.

Here are a few suggestions.

1. Clear the Power BI cache and reconnect.

2. Ensure new files are checked in and appear in SharePoint’s “All Documents” view.

3. In Power Query, use Transform Data instead of Load, and filter by the Folder Path column rather than using the Navigator.

4. If there are many files or subfolders, try connecting from another network or device, as local caching may cause delays.
