Power BI licensing

Hi all,

 

I have a client that wants a Power BI report to monitor some data, but they don't have a Premium or Pro license. I have a Pro license through my company, but I'm confused on if I can only share content to other people in my organization, or if someone outside (like a client) can use the dashboard I create for them.

I was planning on just making them a report in Power BI desktop, and sending them the file (since they have Microsoft 365), but some of the tools I'd like to use in the report require publishing to the service in order to function (like Power Apps).

  • In general, anybody that wants to view a Power BI report securely needs a license.

    • If your report is on Premium Workspace > Report viewer will need Free license
    • If not on Premium Workspace > Report viewer will need Pro license

     

    For external users like your client, if your Power BI admin hasnt disabled share to external, then you can directly share to your clients. It will prompt the addition of that user into your organization's Guest Active Directory. The external users will still need a license based on the above mentioned scenario.
