Power BI licenses

1. MS Community Forums tell me that a person can only view reports in Power BI shared with them using Power BI Pro license only. However, if the person creating the reports has Power BI Premium License, then the users with whom the reports are shared can view it even with a free license. How accurate is this?

2. In the case, the above information is accurate, will they be able to view the reports that were created by me while I had a Pro license before converting to Premium license?

3. And will they be able to modify reports with a free license?
4. And can I transfer ownerships of reports?
Please kindly give me a detailed explanation on these if possible.

Viewing Reports with Different Licenses:
Power BI Pro License: Users need a Pro license to view reports shared with them if the reports are stored in a workspace that is not in Premium capacity.

Power BI Premium License: If the reports are stored in a workspace that is in Premium capacity, users with a free license can view the reports. This is because Premium capacity allows for broader sharing capabilities, including to free users.

 

Viewing Reports Created with Pro License After Upgrading to Premium:
Yes, users with a free license will be able to view the reports you created while you had a Pro license, provided those reports are now stored in a Premium capacity workspace.

 

Modifying Reports with a Free License:
No, users with a free license cannot modify reports. They can only view the reports. To modify reports, users need at least a Power BI Pro license.

Transferring Ownership of Reports:
Yes, you can transfer ownership of reports. This is typically done by reassigning the workspace where the reports are stored to another user with the appropriate permissions.

  • Reports that have been published in powerbi premium workspace can be viewed by users who don't have any license. 

Note: it is about premium workspace capacity

 

Users need to have license to publish or modify any report in any workspace except my workspace

will they be able to view it without license when I have premium now for reports I created in the pro license version?

Any report published in Premium capacity workspace, can be viewed by user without any power bi license.
