Power BI license for 500+ users

For one of my dashboards, we are expecting around 500+ users. Could you please advise on which license would be most appropriate? Should we opt for the Premium license, or are there any package options available that you would recommend?

@Nik_Mecwacare  - Working out which size Capacity SKU you need can be complex. The tools below will help you make the right choice:

Thanks for following up. We tried the capacity estimator tool and found that F64 would be best suited for 500 users. I also read that any Fabric SKU less than F64 would require users to have either Pro or PPU licenses to access the reports. I wanted to take my time to confirm if this was correct before presenting it to the leadership, explaining why any lesser capacities wouldn't be a good fit for us.

Hey @Nik_Mecwacare ,

From cost perspective, do give Power BI Embedded (A SKUs) a quick review. While Power BI Premium provides a full BI experience, the F64 capacity can be a little expensive.  Power BI Embedded is cost-effective and is great for large userbase consumption (both internal and external), but it comes with its own set of challenges like embedding infrastructure development. If the leadership is ready to commit the cost that comes with Power BI Premium, definitely go with that. However if the cost component becomes a bottleneck, Power BI Embedded might be another route to explore.

Thank you for sharing. I did come across the fabric capacity estimator. May need to consider the workloads and usage for estimating the SKUs/CUs.

Hi @Nik_Mecwacare For this Premium capacity license, you will have dedicated resources for Power BI, enabling faster performance and larger dataset support. With this capacity, you can share dashboards widely without requiring additional Pro licenses for viewers. It also provides advanced AI features, paginated reports, and the ability to deploy content on a larger scale.
