How to enable download report in power bi if report and dataset are in different workspaces. Currently I can download semantic model. However, the download option in the report is disabled. Earlier when report and dataset were in same workspace it was working fine but now after seperating the dataset and report in two different workspaces it is not working.

Thank you for contacting the Microsoft Fabric Community. 

 

I understand that you are experiencing issues downloading the report after deploying it via Deployment Pipelines. Unfortunately, this is a known limitation in Power BI Service, as downloading a .pbix file after deployment is not supported. 

  • Power BI disables the download option for reports when they are deployed via pipelines and linked to a dataset in a different workspace. 
  • Autobinding ensures the report remains connected to the dataset in the target stage but does not permit downloading the report.

Hi @Rosy081 One of the prerequisites to download report is Contributor permission to the workspace. Double check your permission.

In Power BI, when a report and its dataset (semantic model) are in the same workspace, you can easily download the report as a .pbix file. However, when the dataset and report are in different workspaces, the download report option gets disabled due to Power BI’s security and governance policies. This happens because the report is now considered a thin report that connects to a dataset residing in another workspace. To enable downloading, you need to ensure that both the dataset and report are in a workspace where you have Build permissions on the dataset. Additionally, if the dataset resides in a Premium workspace, check that the “Allow report viewers to export data” option is enabled in the dataset settings. As a workaround, you can manually recreate the report by connecting to the shared dataset from Power BI Desktop and republishing it. However, Power BI does not currently allow direct download of thin reports from the service when the dataset is in a separate workspace.

Thanks alot for the response however, the issue is that this report is deployed using deployment pipelines from test to prod and its a limitation of PowerBI deployment pipelines that the .pbix file is not supported after deployment. I read this in documentation after facing this issue. If you could help me with a workaround on how to enable it after deploying, that could be very helpful.

When a Power BI report and its dataset are in the same workspace, downloading the report works seamlessly. However, once the dataset and report are split into different workspaces, the download report option is disabled due to Power BI's security and workspace management settings.

 

To enable report downloads in this scenario, ensure that you have Build permissions on the dataset in the source workspace. Additionally, check if the dataset is certified or promoted, as this can sometimes impact report access settings. If you are using Power BI Service (not Power BI Desktop), another workaround is to recreate the report in Power BI Desktop by connecting to the dataset via the Power BI Dataset Connector and then republishing it. Lastly, confirm that Export and Download settings in the Power BI Admin portal allow downloading reports with live connections.

If a report is based on a dataset located in a different workspace, downloading the report is not supported. This is a known limitation of Power BI Service



here are few things which yiu can do as workaround:

  • Move or duplicate the dataset into the same workspace as the report:
    • Download the dataset’s .pbix file from its current workspace.
    • Publish it to the workspace containing the report.

If separating datasets and reports across workspaces is necessary, consider using linked datasets or creating a master workspace that houses both datasets and reports for easier management
