Power BI Refresh Failed due to transient error often

Hi Team,

 

I developed Power BI report and shared in Power BI Service. I Scheduled Refresh.
For some reason refresh is getting failed again and again but sometime its working fine.

Could you please explain what is the exact reason for this transient error?

    The DM_GWPipeline_Client_AsyncOperationExpired error indicates a temporary timeout in Power BI, typically resulting from extended wait times for SharePoint responses. This is often caused by network latency, complex queries, or overlapping refreshes, rather than SharePoint versioning. Versioning itself does not trigger this error, as Power BI always accesses the latest file. However, if a file is being replaced during a refresh, it can lead to brief locks or delays. To minimize these issues, consider staggering refresh schedules, optimizing queries, and maintaining versioning, as it does not negatively impact the process.

  • Hi! Transient errors usually clear themselves up. When you say over and over - how often is it happening? Do you notice a pattern on day or time of day?

     

    1. Retry the Refresh: Wait a few minutes and try again.
    2. Check Gateway Health: If you're using an on-premises data gateway, ensure it's running and not overloaded.
    3. Optimize Queries: Long-running queries can cause timeouts—consider simplifying or indexing your data sources.
    4. Contact Support: If the issue continues, reach out to Microsoft support with the error code for deeper investigation.

    What can often happen with the issue you are experiencing is due to a potential bandwidth issue that is happening during the refresh, meaning the connectivity is disrupted. If you can, make sure that your gateway server is connected via an Ethernet cable to a reliable network.

    Stagger refresh schedules to avoid simultaneous refreshes of large datasets.

    Track refresh durations to identify potential bottlenecks.

    Source & Query Optimization

    Check that the data source is stable and not limiting connections.

    Streamline Power Query steps and move filtering or aggregation to the source when feasible.

    Monitoring & Escalation

    Review gateway logs and Power BI refresh history for recurring error codes.

    Enable automatic retries in refresh settings.

    If the same error persists, submit a support ticket to Microsoft with the error details.

    Implementing these steps should help mitigate transient refresh errors and clarify where the issue originates.

    I have multiple excel files uploaded in sharepoint library and version settings is enabled for the library. We are replacing excel files in daily basis.

    My question is will version settings cause to the transient error? (File size is 8 mb and File Count is 😎
