Power BI License needed

In addition to the PPU licenses, are any other licenses needed to share reports created by 2–3 users who each have a PPU license?

    Hi Mariette

If you have purchased an F64 capacity or higher, users do not need licensing.

Any other situation, users will need pro licensing as a minimum to use the service.

    Hi Mariette,

Thank you  for reaching out to the Microsoft fabric community forum.

I would also take a moment to thank wardy912 , jaineshp for actively participating in the community forum and for the solutions you have been sharing in the community forum. Your contributions make a real difference.

If everyone who needs to create or view the reports already has a PPU license, then you don’t need any extra license. Just make sure the workspace where you publish the reports is set to PPU, and that the people you share with also have PPU. If someone doesn’t have PPU, they won’t be able to open the reports.

Gothrough with the below document hope it may resolve your Issue:

Hope this helps if you have any queries we are  happy to assist you further.
    Best Regards,
    Harshitha.

      Hi

Thanks.  The other users do not have a PPU or Pro licence.  Do we need a Fabric Capacity to be able to share witn free users?

You would need at least an F64 SKU Fabric capacity to allow users access with no licenses, which could potentially be way more expensive.
Depending on how many users you have, the cheapest option would be to share in a pro workspace and assign users pro licenses.

  • Hi Mariette

Unless I have misunderstood your question, you want to know if other users (for example department 1) can view reports published by the 2-3 users that have PPU licenses.

The answer is yes, anyone who needs to view reports published to the power BI service will need a pro license as a minimum (PPU if the reports have been published to a premium workspace).

Thank,  I was not clear.   I need to share reports witn users who are free users.  I have a PPU licence.   Do we need anything else?

        Hi Mariette,
If the users only have free accounts, they can’t open reports from your PPU workspace. They will either need to get their own PPU license, or you will need to publish the reports in a Premium capacity workspace. Free users can only see reports in Premium capacity.

        Thank you

what I understand then are the follwing:

You can share witn the free users if you have Fabric capacity WorkSpace of F64 and higher witn PPU or Pro(?) licence.   Otherwise it cannot be done without getting more PPU or Pro licences.
