Power BI Embedded License

Our company would like to buy the Power BI Embedded License, but we have a few questions left.

1. Based on the description of Power BI Embedded License, people with Power BI Pro or PPU License could share reports and dashboard in the Power BI Embedded Workspace with people who only has free license in their organization (internally).  Am I right?

2. If I want to implement the Power BI Embedded in Microsoft Teams, how could I do it? My assumption is as follow:

  • Assign a workspace to Embedded Workspace in the workspace setting first
  • Go to Microsoft Teams, in the Teams bench, create a group and add the Power BI App from the tab
  • Select reports and dashboard from the Embedded Workspace

Hence, viewer with free Power BI License in this group could view reports.

Please correct me if I am wrong.

Many thanks in advance,

Joan

@JoanMok
Yes, you are correct. When I mentioned "Power BI Premium Capacity," I was referring to the capacity that includes the Power BI Premium Embedded (EM SKU) offering. This particular SKU allows embedding Power BI reports and dashboards into applications like Microsoft Teams, SharePoint Online, and custom web applications.

@JoanMok

Sure, Joan! I'll address your questions one by one.

### 1. Power BI Embedded License and Sharing Reports Internally

**Understanding the Sharing Mechanism:**
- **Power BI Embedded** is primarily used for embedding Power BI content into your own web applications, portals, or services.
- It allows you to provide access to reports and dashboards to users who might not have a Power BI license.

**Regarding Internal Sharing:**
- **Power BI Pro or Power BI Premium Per User (PPU)** licenses are required for users who create, share, and collaborate on Power BI content.
- Users with a **Power BI Free** license can view content in a workspace that is assigned to a **Power BI Premium capacity**.

**Your Statement:**
> People with Power BI Pro or PPU License could share reports and dashboards in the Power BI Embedded Workspace with people who only have a free license in their organization (internally).

- **Correct, with conditions:** If the workspace is assigned to a Power BI Premium capacity (which is what the Embedded SKU provides), users with a Power BI Free license can view the content in that workspace. The Pro or PPU users can create and share the content, while the Free users can consume it within the organization.

### 2. Implementing Power BI Embedded in Microsoft Teams

**Your Steps:**
1. **Assign a Workspace to Embedded Workspace in the Workspace Setting:**
- This involves assigning your workspace to a Power BI Premium capacity, ensuring that Free license users can access the content.

2. **Create a Group and Add the Power BI App from the Tab in Microsoft Teams:**
- Correct. You can add the Power BI app to a Microsoft Teams channel or group, allowing users to access reports and dashboards directly within Teams.

3. **Select Reports and Dashboards from the Embedded Workspace:**
- Correct. When you add the Power BI tab, you can select the reports and dashboards from the workspace that is assigned to the Power BI Premium capacity.

4. **Viewers with Free Power BI License in this Group Could View Reports:**
- Correct, with the condition that the workspace is on a Premium capacity. This way, Free users within the organization can view the reports and dashboards.

### Steps for Implementing Power BI Embedded in Microsoft Teams:

1. **Ensure Premium Capacity:**
- Make sure your workspace is assigned to a Power BI Premium capacity (this includes Power BI Embedded SKUs like A1, A2, etc.).

2. **Add Power BI App to Teams:**
- Open Microsoft Teams.
- Navigate to the desired team and channel where you want to add the Power BI report.
- Click the "+" (Add a tab) button.
- Select "Power BI" from the list of available apps.

3. **Select the Desired Report/Dashboard:**
- Choose the report or dashboard from the workspace that is assigned to the Premium capacity.
- Configure any settings as needed and save.

### Summary

- **Power BI Embedded License:** Allows Pro or PPU users to share reports and dashboards with Free users within an organization, provided the workspace is assigned to a Premium capacity.
- **Embedding in Microsoft Teams:** Follow the steps to assign a workspace to Premium capacity, add the Power BI app to Teams, and select the appropriate reports for viewing by Free license users.

Hallo,

thanks for the reply. I am confused by the Premium Capactiy. If I assign my workspace as a Power BI Embedded workspace, do I still need a premium capacity for the workspace?

Hi @johnbasha33 ,

thanks for the link, it's much more clear now.

for double check, the Power BI Premium Capacity you mention above is the Power BI Premium Embed /EM SKU Capacity, which could embed Power BI in Microsoft Teams. Am I right?

many thanks in advance,

Joan
