Permissions to export the report (end-users)

HI.

I created a report ( 4 tabs) for end-users. It contains only charts
How can I make it available so they can use it and export the clickable data ? They are not to share it with anyone in its entirety just save the visualization page. There is such an option if I share it through a link in Teams but there is also a file option--save the report-->publish on the web which they are not supposed to have access to.
For now, they have received a link to the embedded report in the website (but they can't export it from the browser)

  • Hi Anonymous ,

     

    There are a few places for this.  In the Service, you can go to the Admin Portal and restrict export functions and save functions. But, changes in the Admin Portal are tenant wide.  You could also place the report into an App and restrict permissions that way.

     

    If you are trying to do this for one single report, before publishing it, you can modify the export capability in the Options like this:

      I have tested various settings with a "test" user.

      I wanted to see what the end-user would be able to do for the various options of the report shared.

      1. In the report embedded in the portal and the link provided, everyone in the organization can use it / such a link I do not see in the permissions to the report so you can't delete it / need to delete the entire report from the workspace / in this solution end-user does not have the option to export clicked data on the charts from the report.

      2. Report shared with specified persons - end-user can export clicked data to pdf (even with selection of pages/tabs). / they cannot share the report.

      I was afraid option: file-->submit report in the portal.

      A user can do it and such link send to others but they will not activate the report (requires access request)

      Do you have the same reflections ?

        Hey Anonymous ,

         

        I believe you are correct.  I do want to point out as well, that if you are using the Share option in the Report itself:

         

         

        You can create the link so that it is set to NOT share.  Just click on the arrow:

         

        and UNcheck these two options:

         

        and then you will see that the link option has changed to "view" from "share":
