PBI automation to PDF issues

Hi - new user here. I want to automate (via Power Automate) my pbi report to export to a pdf and save in Sharepoint, but i keep hitting an error (404 NOT FOUND). ChatGPT says with my PPU licence that I cannot do this - is this correct? It says I have to upgrade to a $400 p/month plan. Surely my PPU licence can do what I need???


I need to automate everything as staff do not know how to use PBI nor have the time. So all data will go into two Sharepoint lists which link to PBI. Now all I need is to automate a once a week report.

    The issue is that automated PDF export (ExportToFile / “Export to file for Power BI reports” action) has capacity requirements and is explicitly not supported for Premium Per User (PPU). So if your workspace is “PPU” (not backed by Premium/Embedded/Fabric capacity), the Power Automate “Export to PDF” approach can fail (often with confusing errors like NotFound (404) or feature-not-available behavior), even if the report renders fine in the Service.

     

    You can’t use ExportToFile for interactive Power BI reports with only PPU. Instead, consider using Power BI email subscriptions.

    Hi mi4u, 

     

    The export to file API requires a premium or fabric capacity, PPU is not enough. 

     

    If you want to use tha API endpoint, you will need to purchase at least an F2 capacity to put the workspace that contains the reports on.

    Hi mi4u 

     

    As the others have noted, your requirement to create and export filtered user-specific PDFs is not supported by the PPU license. You need Premium / Fabric capacity for the Power BI + Power Automate route.

     

    If you are open to third-party solutions, take a look at BI Helper at https://bihelper.tech, also in the Microsoft Store.

     

    BI Helper is browser-based and is designed for business users.

     

    It connects directly to Power BI with a Pro / PPU license and doesn't need Power Automate or any other software.
