Monitoring usage for shared reports via Public Web based links

Hello Power BI Community:

I have created a few Power BI Service models and sent the published Public web links via email to internal users.

However, I would like to monitor high level performance activities for these links. E.g.

1. Last date/time when the link was accessed.

2. Number of times the link was accessed on specific date.

Etc.

Need high level statistics and not necessarily page by page.

Can you please help.

Thanks. Regards....Adi

Hello Jitian, Sai and Community:

Many thanks for all your help and suggestions.

I was able to solve my issue using a third party tool Bitly (www.bitly.com)

It provided me with the basic statistics that I needed.

Once again thanks for all your help.

Best regards....Adi

Hi @AdiBiAcumen ,

You can contact your tenant they will be able to provide those details incase if they are capturing audit/activity logs.

Thanks,

Sai Teja

Hello Sai:

I am not sure I understand your solution. Would appreciate if you can elaborate a bit more.

Hi @AdiBiAcumen ,

Currently I'm working as power bi admin for US based life sciences company. Here our tenant admin created some ETL process to capture all activity logs to azure SQL database for audit purpose (more than 6 years data for entire tenant everything will be captured activity under premium or pro or myworkspace). Similarly your tenant admin may be capturing the data for audit purpose. If you want to know when they opened the reports what activity was triggered.

Thanks,

Sai Teja

Hello Sai:

Many thanks for your response and trying to solve this issue. However, in my case their is no tenant admin since the Power BI Service created link is for web based open to all.

Thanks and best regards....Adi

Hi,@AdiBiAcumen Thank you for your reply
Hello,@SaiTejaTalasila,thanks for your concern about this issue.
Your answer is excellent!
And I would like to share some additional solutions below.

Although I'm not very good at rest API and power bi embedding, I found similar posts that have already addressed it, so I hope that helps.
You may be able to get access to the reports via embedded code, but it requires some programming skills.
Here is a link to the post in question, I hope it helps and I wish you the best of luck in realizing your needs.

I hope my suggestions give you good ideas, if you have any more questions, please clarify in a follow-up reply.

Hi,@AdiBiAcumen. I am glad to help you.
If you want to get the recent usage of a report that has been shared with other users.
I recommend you to use the Situation Monitor report to monitor the usage of the report.
You can see the recent usage of the report in a very visual way.
Here is the official link, hope it helps you:

Monitor report usage metrics - Power BI | Microsoft Learn
Monitor usage metrics in workspaces (preview) - Power BI | Microsoft Learn
You can save a copy of the tracking report or analyze the data in Excel.

You can also try using the Power BI RESTAPI to get recent access to the report
The REST API provides a variety of functionality including managing reports, datasets, user activity, and more!
Below are the official links to help you:

I hope my suggestions give you good ideas, if you have any more questions, please clarify in a follow-up reply.

Hello Carson Jian:

Many thanks for your response and suggestions.

Maybe, I was not clear in my question and request.

I am aware of the Report usage metrics for the Reports in Power BI Service and I have had no problems in the past for using it.

However, my question is tracking of the link that is generated from Power BI Service as 'Publish to Web'; that you can send out via Email.

I would like to track traffic on this link sent out via Email.

Is there a way in Power BI Service to track the traffic ? If not in Power BI is there another way?

Thanks in advance for your help.

Best regards....Adi
