How to keep visuals up to date when working with live data (report vs dashbaord)

Hello,

 

Summary:

I want to keep the visuals on a report/dashboard up to date. The data connections are live and working properly, however someone still needs to manually press refresh on power bi service or desktop. This is the same issue as descirbed here: Solved: Re: Auto refresh visual on report - Microsoft Power BI Community. Has anyone found a way to get the visuals of a report to automatically update with the dataset's scheduled refresh? I think remaking my reports as a dashboard may do the trick, but I want to ask before rewriting everything.

 

More detials: 

We've been using the same report for about a year and its been very useful. Previously updating the report was a manual process that started by downloading the data as excel files and overwriting the existing data in a sharepoint folder. I got IT to make a live connection, so now the source tables (which are excel online files) refresh once per second (not sure exactly but more often than we need). I replaced the source datafiles with urls provided by IT and the "get data ~ web" feature. After verifying the relevant credentials and minor tweeks inside of power query editor everything has been working great.

 

The dataset is published to the teams workspace and it automatically refreshes 2 times per day. The report is also published to the teams workspace but the visuals need to be manually refreshed in power bi service 😞This report is shared with a few different teams and has been in a steady state for 1 year.

 

I looked around on the web, and in power automate but it seems like power bi report visuals don't automatically update. Has anyone found a work around?

It sounds like redesigning the report as a dashboard may create the automatic updates for data and visuals I want, Is this the case?

 

Note: I don't want to rewrite the report as a dashboard if I don't have to. It uses slicers to aid in drilling down of the data.

Hi @bbart86 

 

The only option I know of is the auto page refresh on the visuals.

 

Currently it is by design that you have to interact with the visuals for the changes to be made.

I assume you are referring to this feature: Automatic page refresh in Power BI Desktop - Power BI | Microsoft Learn. It sounds like I need to use a "direct query" DirectQuery in Power BI - Power BI | Microsoft Learn

 

Have you used this before? If so, was it successful at auto updating the visuals and data together?

 

General questions that I'm trying to answer now:

What are the basic steps to convert a "get data ~ web" url based connection converted direct query?

Based on my quick read it sounds like I may need to use a data gateway, is this correct?
