Help Needed: Comprehensive Power BI Environment Statistics and Asset Reporting

Hi Everyone,

I’ve been tasked with creating a comprehensive Power BI report that provides both high-level and detailed statistics about our Power BI environment. Specifically, I need to gather insights into:

  • High-Level Metrics:
    • Total number of workspaces
    • Number of users
    • Count of reports, datasets, data marts, data flows, and other digital assets
  • Detailed Analysis:
    • A breakdown of users per workspace
    • Identification of digital assets within each workspace
    • Identification of which workspaces are assigned to Premium capacity
    • Usage statistics:
      • How frequently reports are being accessed
      • Identification of "popular" reports vs. inactive ("dead") report

This information is crucial for leadership to understand the scale of our Power BI landscape and will also help us prepare for potential audits by ensuring we have a clear inventory of our digital assets and their usage patterns.

I’m aware of the Admin Monitoring workspace, but it primarily provides Premium Capacity metrics and does not offer the granular visibility I need.

My question:

  • Are there any Microsoft pre-built dashboards or reports that can help surface this level of detail?

Any guidance, tips, or resources would be greatly appreciated.

Thank you in advance for your help!

  • hi tbuck8384 ,

To gather comprehensive Power BI environment statistics:

    1. Use Power BI REST APIs: Extract data on workspaces, users, assets, capacity assignments, and usage metrics.
    2. Leverage Audit Logs: Access user activity, report popularity, and inactive assets.
    3. Power BI Admin Portal: Provides high-level metrics like Premium capacity assignments and workspace summaries.
    4. Usage Metrics Reports: Track report views and user interactions.
    5. Third-Party Tools: Consider tools like PowerBI.Tips or governance frameworks for deeper insights.

Combine API data, logs, and custom Power BI reports for a complete overview.
