Fabric Trial Capacity Questions - Trial license to Expire & migrate workspaces

I have Fabric trial. I am an administrator. I created Workspaces and reports for different business units/departments testing Fabric/Power BI.

Fabric Trial license is set to Expire shortly.

In Admin portal, Capacity settings, 3 Trial capacity names are listed. 1 capacity is assigned to me. the other Trial capacties are assigned to admins of workspaces they created.

In Admin portal, Workspaces, for the test Workspaces I created, a Trial capacity name exists for each workspace. Total 9 Trial capacity names, including the 3 Trial capacitys listed in Capacity settings.

The company is a non-profit. The pricing for capacity for non-profits is still unknown.

I thought Fabric Capacity is similiar to a tenant. 1 Fabric Capacity per company, and all workspaces go into the 1 Capacity.

I found this post with the same questions
https://www.reddit.com/r/MicrosoftFabric/comments/1616z9b/fabric_trial_capacity_questions/

I now understand there can be several capacities created/ running.

The company will purchase 1 Fabric capacity.

I am tasked with moving all capacities/workspaces into the purchased 1 Fabric capacity.

How can I acheive this?
is it as straight forward as Admin portal, Workspaces. select a workspace, Reassign workspace to the 1 purchased capacity.
Do the user permissions and access migrate across? or is there additional checking/ reassigning I am to do.

1 user setup a workspace shared it with her manager and myself, and has now left the company (setup approx in Aug 2023) From what I can see, it was all done using PowerBI service. As admin, for maintenance purposes I was UNABLE to move/ download/reassign any workspaces, reports or data to myself. or assign the new 'user admin' to the workspace. This means the new user or myself are unable to do anything in this workspace.  All that was available for me as admin, was COPY and I did not want a COPY (duplication) of the workspace/ reports/data  etc. Unless theres a way to move/reassign the workspace, I will need to recreate a new workspace  + reports from scratch using best practices.

--- updated ---

Capacity Sku/size

In Admin portal, Capacity settings, the 3 Trial capacity names listed is
Sku/size
FT1

There is no information/ details on size
In Admin portal, Workspaces, the Trial capacites for each test Workspace

As this stage non-profit prices are still unknown,
when I purchase a Fabric Capacity license, for resource size can I select any SKU size eg F2

Any information will be appreciated.

TIA

Here's a comprehensive approach to address your situation with Fabric (Power BI) capacities and workspaces:

Consolidating Capacities and Workspaces

  1. Understand Your Current Setup:

    • Trial Capacities: You have multiple trial capacities, and each workspace is assigned to one of these capacities.
    • Purchased Capacity: When you purchase a Fabric capacity, you will need to consolidate all your existing workspaces into this single capacity.
  2. Reassigning Workspaces:

    • Navigate to Admin Portal: Go to the Admin portal in Power BI/Fabric.
    • Go to Workspaces: Find the workspace you want to move.
    • Select Workspace: Click on the workspace you want to reassign.
    • Change Capacity: Look for an option to change or reassign the capacity. This option should be available in the settings or capacity management section.
    • Assign to Purchased Capacity: Choose the purchased capacity to move the workspace.

Note: The exact steps might vary slightly based on the interface changes or updates in the Power BI/Fabric portal. If you do not see the option to reassign, you might need to consult the official documentation or support for detailed instructions.

  3. User Permissions and Access:

    • User Permissions: When you reassign a workspace to a new capacity, user permissions generally stay intact. However, it's a good practice to verify that all necessary permissions are still in place after the move.
    • Verify Access: After moving the workspaces, check that all users have the necessary access and permissions to the new workspace in the purchased capacity.
  4. Handling the Abandoned Workspace:

    • Access Issues: If a user has left the company and their workspace access is problematic:
      • Admin Rights: As an admin, you should typically be able to take ownership of the workspace. If not, you might need to contact Microsoft support for assistance.
      • Workspace Recreation: If moving the workspace is not possible, you might need to recreate it. Use this opportunity to apply best practices and ensure that the new workspace is set up correctly.
  5. Capacity SKU/Size:

    • Capacity Size: When purchasing Fabric capacity, you can choose the SKU size (e.g., F2) based on your needs.
    • Non-Profit Pricing: Pricing details for non-profits will be provided by Microsoft, and you should get in touch with their sales team or your account representative for specific information.
  6. Future Capacity Management:

    • Consolidation: Ensure that all future workspaces are created in the purchased capacity to avoid fragmentation.
    • Monitoring: Regularly monitor capacity usage and performance to ensure it meets your organization’s needs.

Additional Resources

  • Documentation: Check the official Microsoft Fabric documentation for up-to-date instructions on capacity management.
  • Support: For specific issues or if you face difficulties, contacting Microsoft support may be necessary, especially for handling access issues or moving workspaces.

By following these steps, you should be able to effectively consolidate your trial capacities into a purchased one and manage your workspaces and permissions.
