Error downloading pbix file from PBI Service

Hi all!

I've a report created in Power BI Desktop and published to the Power BI Service. When I try to download it from the Service, I receive this message. The report contains many tables with a large number of records. How can I fix this?

You can’t download a PBIX from the Service if the dataset uses incremental refresh, DirectQuery/live connection, large dataset mode, or has been modified via XMLA endpoint.

These are intentional limitations. The only fix is to keep working from the original PBIX file you published. If you no longer have it, you’ll need to rebuild the report (e.g. using PBIP projects or metadata extraction).

There is an alternative option using Fabric Studio and Visual Studio Code which allow you to download the PBRX with the metadata. It won't download the actual data if. Before suggesting complex solutions, it is worth understanding why you need to download the PBIX file, given that you mentioned creating the report in Power BI Desktop.
A few clarifying questions:
  • Do you still have access to the original file in Desktop? If so, what is the reason for downloading it from the Service?
  • Has the PBIX been modified in the Service (for example, with features such as RLS, parameters, or dashboards) and you want to recover those changes?
  • Are you trying to obtain the model with the data already loaded to avoid a local refresh?
I ask this because, if the goal is simply to keep a copy or make changes, it is usually better to work with the original file in Desktop or use Deployment Pipelines to manage versions. Downloading the PBIX from the Service is more useful when you do not have access to the original file or need to recover a report published by someone else.
If you confirm that you do need the download, I can suggest two approaches to work around the error:
  1. Download without data (retains structure and measures, but you will need to refresh locally).
  2. Optimise the model to reduce its size and allow a full download.
Which scenario applies to you? Do you need to recover changes made in the Service or simply avoid a lengthy refresh in Desktop?

What I need to do is change the table schema. I don’t have a parameter to control it, so I have to make the modification manually.

The Power BI Service has strict limitations on the "Download to .pbix" feature. Based on your description of large tables, these are the most likely causes:

  • Dataset Size: You cannot download a report if the dataset size exceeds 10 GB.

  • Incremental Refresh: If Incremental Refresh is enabled on any table, the report cannot be downloaded back to Desktop format.

  • XMLA Endpoint touch: If you have altered the metadata of the model through any external tools that connect with XMLA endpoint, the report cannot be downloaded back to Desktop format.

If you just need to edit the visuals and don't need the local data, try downloading the file without the data (Live Connection). In the Power BI Service, select File > Download this file, and choose the option for A copy of the report with a live connection to the data in the service.
