Distributing reports built in PowerBI Dekstop

Hi,

I created a report using PowerBI desktop. I'm currently using the free version. I want to be able to distribute this report to other people within my company and external clients.

I have tried Publishing my report which then appears in Microsfot 365 but the report doesnt look the same as it does in PowerBI Desktop, some of the headings have gone and I don't have tooltips for example.

What are my options if I want to be able to share and distribute my report with others who don't have PowerBI Desktop or a paid version? From what I understand I can get a premium subscription for $20/month which would allow me to share my report with others? If this is correct is there a limit to how many people I can share the report with.

I have searched for answers to my queries but couldn't find any conclusive information. Thank you for any recommendations or information you can provide.

Thanks for any info or recommendations in advance

  • Hi, will_v

Based on your current description: "I can get a premium subscription for $20/month which would allow me to share my report with others", actually if you want to use the Pro license to unblock the "Share reports" feature to share your published report with other members, the other members should at least also have the Pro license to access the report you shared with them. If the other members are all free users for the Power BI product, my suggestion is that you can try to use the "Publish to web" feature to generate a public report link for this report so that anyone who get this web URL link can access and view your report, please feel free to check this official document link:

Publish to web from Power BI - Power BI | Microsoft Learn

Regading all the sharing content features with the pre-requirements for them, please check this official document link:

Share Power BI reports and dashboards with coworkers and others - Power BI | Microsoft Learn

Thank you for your time and sharing, and thank you for your support and understanding of PowerBI!

    Best Regards,

  • Hi Aniya,

The Publish to Web option worked perfectly and means I didn't need to pay for subscription either.

Thanks for your detailed help on this!
