Dataset not visible in Excel/Power BI Desktop

Hi all,

 

We're trying to give users access to a dataset so they can view the reports in an App but also Analyze in Excel and/or build reports.

This is our setup in Power BI Service:

 

Workspace A

   - Dataset1

Workspace B

   - Report with Live connection to Dataset1

Workspace B App

   - Report


Permissions on Workspace B App

We're using a security group XY to give users access and we're checking the "Allow all users to connect to the app's underlying datasets using the Build permission" option.

 

Permissions on Dataset1 in Workspace A

Added XY security group with Read, build permissions

 

Tenant setting "Allow Live Connections"

We've got a security group for the setting and we've added the security group XY into the tenant setting security group.

 

Until here, all good. Users can see the Workspace B App, the report, the data and can see and use the "Analyze in Excel" option. An Excel file is downloaded where they can create reports using the data model.

 

The challenge is the users cannot see the dataset from Power BI Desktop (using Power BI datasets) or from Excel (Get Data > Power BI)

 

If we give Member access to the security group to Workspace A, then they can see the dataset from Power BI Desktop/Excel, but we don't want the users to have access to Workspace A. We've also tried Viewer role on Workspace A, but in this case, they couldn't see the dataset from Excel/PBI Desktop.

 

Any idea?

An update on this. We've finally managed to set this up correctly.

 

The security group XY needs to be added to the "Use datasets across workspaces" tenant setting as this setting is enabled for a subset of our organization.

 

We had added the security group to the "Allow Live Connections" tenant setting, but not to the "Use datasets across workspaces" one.

 

Good finding for a Friday

Ahh I think then that those users would need to have at least a contributor role in the app workspace where the dataset is hosted.

That's something we already tried. If we give Contributor or Member role to the users in the data app workspace, then the business users can see the dataset in Power BI Desktop/Excel. If we assign them the Viewer role, they can't see the dataset in Power BI Desktop/Excel.

 

However, we don't want the users to have access to the app workspace at all. This is the challenge we're facing.

 

Any other ideas?

Could you go into the underlying dataset and verify that the required users have the permissions for build on the dataset level?

Hi @GilbertQ ,

 

Thank you for your answer. Yes, we've added a security group that contains the users with read and build permissions on the underlying dataset. This is working as the users can see the reports and the data from the App and, also, they can use the Analyze in Excel feature in the report which would indicate the Allow Live Connection tenant setting is set up correctly.

 

The issue is the dataset is not available when they try to access it from Power BI Desktop or Excel.
