Cannot create/link an alert with Data Activator

Hi, I noticed this banner across the top of an existing Activator object.

So I am trying to re-create the rules I have on that object on a brand new Activator object. However I don't seem to have the option any longer to add/create alert on the card visuals on the existing Power BI report.

 

As far as I'm aware all the criteria is met, I have tried looking through visual/workspace settings and my Power BI admin has checked tenant settings and we can't see anything preventing the alerts option show.

 

I have even tried pinning the card visuals onto a Power BI dashboard, and I have the option to manage alerts on the dashboard tile but I cannot see a way to link these alerts to an Activator object.

 

Does anyone know how I can re-create Activator alerts for my card visuals? Thank you

Hi @_LS_,

 

Thanks for reaching out to the Microsoft Fabric Forum Community.

 

First, make sure your workspace is using Fabric capacity (either Premium or PPU). You can check this in the workspace settings on the Power BI Service.

Next, go to https://app.fabric.microsoft.com, click the app launcher (the nine dots in the top-left), and open Data Activator.

Once you're in, you can create a new flow by connecting it to an event stream, KQL database, or Lakehouse. Then you can set up rules and actions based on your data.

Right now, Power BI dashboard alerts can't directly trigger a Data Activator flow. If you want to trigger actions from visuals, you can either use Power Automate with those alerts or stream the data into Fabric to use with Data Activator.

Hello @_LS_ ,

 

Activator GA version needs fresh configuration; preview flows don’t auto-migrate and make sure your workspace is in a capacity (Premium, PPU, or Fabric) that supports Activator GA.

 

To fix this:

Set up alert rules on the dashboard tile:

Go to the dashboard.

Click the ellipsis (…) on the tile → Manage alerts.

Define the alert conditions.

Configure Activator to respond to the alert:

Go to the Activator app (GA version).

In Activator, create a new flow.

Select Power BI alert as the trigger.

Select the alert you just created on the dashboard tile.

Configure the flow (e.g., send Teams notification, email, etc.).

Hi @anilelmastasi thank you for your response. How do I create a new flow in my new Activator app? I have this screen when I create a new one and none of the options in Get Data seem to relate to Power BI?

Power BI is no longer surfaced under “Get Data” directly inside Activator. Instead, you set up the triggers or data connections from the Power BI side (through alerts or APIs), or from Activator using available connectors like Power Automate, Fabric, or REST APIs. That’s why when you create a new Activator flow, the screen feels disconnected — you’re seeing generic data sources (SQL, Dataverse, etc.), but not a clear “Power BI” option like you might expect from the preview.

 

Set up a Power BI alert on a dashboard tile (if applicable)

Pin your card visual to a Power BI dashboard.

Add a dashboard alert on that tile.

Connect that alert to Activator via Power Automate or the Activator connector.

Use the Activator “Power BI data-driven” trigger

Some tenants have this available in Activator’s trigger list.

Look for it under triggers like:
→ “When a data alert is triggered” or
→ “When Power BI dataset refresh completes”.

Hi @anilelmastasi thank you, can you elaborate more on the step 'Connect that alert to Activator via Power Automate or the Activator connector.' 

This is where I don't understand what I am supposed to do to connect alerts with Activator, I am struggling to find anything online hence the post to this forum? Thank you

Here’s a clear explanation:

Set up a Power BI dashboard alert

Go to your Power BI report.

Pin the card visual (or any metric visual) to a Power BI dashboard.

On the dashboard, click the … (More options) on the tile → choose Manage alerts → Add alert rule.

Define the threshold and conditions for the alert.

This alert can now trigger a Power Automate flow.

 

Create a Power Automate flow

Go to Power Automate.

Click Create → Automated flow.

Search for the Power BI trigger called: → When a data-driven alert is triggered

This trigger will listen for the Power BI alert you just set up.

 

Add Activator action in the flow

In the next step of the flow, click + New step.

Search for the Activator connector (this should appear if you have the GA Activator app installed and proper licenses).

Choose the relevant action, like: → Create activity in Activator
→ Trigger flow in Activator
→ Send notification to Activator

 

Fill in the required fields, such as:

-Title / message

-Target user / group

-Priority

Any custom details you want to pass from Power BI

 

Save and test the flow

Save your Power Automate flow.

Go back to Power BI and manually trigger the alert (for example, change the data so it crosses the alert threshold).

Check if the Activator activity or notification appears.

 

 

Hi @anilelmastasi apologies for the delay in my response. I can't find the Activator connector in Power Automate so please could you advise where to download this "GA Activator app" and what "proper licenses" involves? Thank you
