App access for external users
I would like some confirmation on the process that is used to provide external users access to our apps on the web service.
- Do the users receive an automatic email with a link to the app? If so, can that be turned off so we can control the messaging?
- Is it true that if any other external user gets access to the link, that they can also view the app, even if they are not granted permission? We create user/domain-specific guest accounts to allow access, but I have read that anyone with access to the link can see the content. This would constitute a break in our security and I would appreciate any suggestion to stop that.
If there is a more secure, preferred method of providing app access to external clients, I would like to know about it.

Hi Anonymous ,
When you share an app with an external user with ad hoc invite, the external users who is granted permissions to enter the app will receive an email with app link. Then these guest users click this link, and they are asked to authenticate with their own organization's identity. Once they are successfully authenticated, they are redirected to shared app. You can use the methods in the following documentations to limit or block what can do in your organization:
Export and sharing settingsEnable B2B external collaboration and manage who can invite guests
In addition, only external users who have been granted permissions can access to shared app and they must have the proper licensing in place to view the content of shared app: the contents located in Power BI Premium or they have pro license. You can find more details in this documentation. Here is the offical documentaion with full detail about how to distribute the contents with external users, hope it can help you.
Best Regards
