Analyze data with excel- function not available in PBI pro

Hi,


I am using a Power BI pro license and I need some users to be able to download data directly into Excel with the option "Analyze with Excel". At the moment however, it is unavailable (greyed out).

I have checked the settings in Desktop for this report, can't see a problem there. As long as I am into the report I can download the specific tables in Excel as well. The problem is I really need to have all the raw data available, not the specific tables, for these users.

I am thinking there is an issue with my rights or a specific set up I am missing. Can anyone help on that?

Hi  @Berl21 ,

First, the "Analyze in Excel" feature require both options(Export data and Analyze in Excel) to be enabled.

Please make sure below options are enabled in admin portal:

Second, please check:

  • Some organizations may have Group Policy rules that prevent installing the required Analyze in Excel updates to Excel. If you’re unable to install the updates, check with your administrator.
  • Analyze in Excel requires that the dataset be in Power BI Premium or that the user have a Power BI Pro license. To learn more about the differences in functionality between license types, take a look at the Power BI features comparison section of Power BI pricing.
  • Users can connect to datasets through Analyze in Excel if they have permission for the underlying dataset. A user could have this permission in a few ways, such as having the Member role in the workspace containing the dataset, or having Build permission for a dataset in a workspace or in an app that contains the dataset. Read more about Build permission for datasets.

Hi @Berl21 ,

 

Please check if you meet the limitations below:

 

  • Some organizations may have Group Policy rules that prevent installing the required updates to Excel. If you can't install the updates, check with your administrator.
  • Row-level security (RLS) is supported for Analyze in Excel. RLS is enforced at the data-model level, and is always applied to all users accessing data in the report. Read more about row-level security.
  • There may be times when using Analyze in Excel that you get an unexpected result, or the feature doesn't work as you expected. See Troubleshoot Analyze in Excel for solutions to common issues.
  • Only Power BI datasets that use Import mode will preserve hierarchies in Analyze in Excel workbooks. Power BI datasets built on DirectQuery or composite models will not have their hierarchies retained when using Analyze in Excel.
  • Analyze in Excel doesn't support specifying a locale by modifying the connection string after a workbook has been generated.
  • You may see an error message if the data is larger than 2 GB. In that case, either reduce the amount of data, for example by applying filters, or use the XMLA endpoint. Learn more about the XMLA endpoint.
  • Guest users can't analyze Power BI data in Excel for datasets sent from a tenant different from the one hosting the datasets.
  • Analyzing Power BI data in Excel is a Power BI service feature. You can't analyze Power BI data in Excel from Power BI Report Server or Power BI Embedded.
  • Analyze in Excel might not work as expected if field parameters are used in the underlying Power BI dataset.
