Add more than 100 Users to App?

According to this documentation, you can only add 100 users to an app.

https://docs.microsoft.com/en-us/power-bi/collaborate-share/service-create-distribute-apps

However, I've tested adding more than that and it seems that you can have more than 100 users with access to an app. We are interested in this question, because we have external users that we need to add to an app that cannot be added to groups.

Can you add more than 100 users to an app, despite the documentation saying you cannot?

Are you able to create Azure AD security groups? It would be easier from a maintenance standpoint to make a group for internal and external users per permission level. This way you can add and remove people without going into the app permissions all the time, and the group bypassess the 100 user limit.

Yes, I'm aware of the security, but unfortunately they are not an option in our case. According to the documentation there is a limit of 100 users, but in reality, I've been able to add more than 100. Is the documentation inaccurate?

Hey @SeattlePowerBI ,

The documentation is "

  • You can have at most 100 users or groups in the access list for the app. However, you can give more than 100 users access to the app. To do so, use one or more user groups that contain all the desired users."

So, technically speaking you can only put in 100 names (or at least you should only be allowed to put in 100 individual names).  HOWEVER, you could put in 100 groups of however many each (lets say 10,000 users per group).  So, 100 groups at 10,000 would be 1,000,000 users.  (LIke @JR-DCPS  was indicating).  of course, if you have 1,000,000 users hitting the same report at the same time you might have some latency but that is a topic for another day.

Now, if you are pasting in 110 names in the box and hitting Save or Update App you might not be getting an error message but I am wondering if it is removing the extra 10 (and, my experience is that it is not the last 10 names).  After hitting update, get out and back in and maybe hit refresh a time or two and then copy all the names in the list and see if there are really 110 or just 100?

Hi There-

Yes, I added the users, then exited the app permissions menu, navigated to some other sites, then returned. I then copied the list of names (since there isn't a count given) into Excel, and counted the number of names there to make sure it was still the same number. It was - there were no names removed... so I did have more than 100 in the app permissions (207 to the be precise.)

I am thinking the documentation is wrong, therefore - I just need someone to confirm so that I can give guidance.

Hey @SeattlePowerBI ,

Thanks for doing the test!  I was quite sure that it would just knock some names out.  Based on your test, I would guess that the documentation is wrong.  I have provided some feedback to that article so we shall see if they correct the documentation.
