Access to reports

Hi, I'm new to Power BI and have just published a report I created in Power BI Desktop.

 

What is the best way to give others the ability to view this report and interact with it's filtering and refresh capabilities.  They do not need to edit or create reports.

 

Our env is Office 365 Business Premium with Power BI Free license.

 

Here's the scenario for our usage:

  • 1 person creates and publishes reports, dashboards, etc in Power BI Desktop
  • About 5 other users need to view, refresh data and interact with report filters, ideally on SharePoint Online.  But can be in BI service if necessary.
  • Data is sensitive so we cannot embed on public website.

 

The Power BI licensing is confusing so I'm not sure what type of licening outside the free license we need to get up and running.

You have to have powerBI pro license to share reports. Your end users will also need Pro licenses as well. The report will refresh on its own but the end users have nothing to do with the refresh. Just make sure you have a gateway setup on the PowerBI service if required. If you are using SharePoint online, all you need to do is use the "embed in sharepoint" copy the link and paste it into the "PowerBI" Web part in a modern SharePoint Page. Make sure the end users all have PowerBI pro. Also make sure to grant access from power BI service to those 5 users or else they won't be able to view it from SharePoint.
