Access to Business users

Hi All,

We have a Premium capacity per user license, We have created a report and published it on a workspace (with premium capacity per user) also, we have created a APP for it.

Now we are giving business users access to this app who don't have any license or free trial. Ideally as per the MS documentation they should be able to read, view and work on the report (have analysis on the data while interacting the report) but in real it is not happening. It routes the business user to create a free trial account and then use it.

How can we fix this Issue Please Advise.

Hi @Cupola24 ,

To create or update an app, you need a Power BI Pro or Premium Per User (PPU) license. For app consumers, there are two options.

  • If the workspace for this app is not in a Power BI Premium capacity: All business users need Power BI Pro or Premium Per User (PPU) licenses to view your app.

  • If the workspace for this app is in a Power BI Premium capacity/F64 or higher Fabric capacity: Business users without Power BI Pro or Premium Per User (PPU) licenses in your organization can view app content. However, they can't copy the reports, or create reports based on the underlying semantic models.

It's worth noting, a Premium Per User (PPU) workspace is not the same as a Premium capacity workspace, so make sure your workspace is in Premium capacity.

Also, with both pay-as-you-go and reservation options now available for Microsoft Fabric, we are announcing the eventual end of life for the Power BI Premium capacity SKUs. Depending on your existing agreement, the retirement will impact you differently:

  • New customers will not be able to purchase Power BI Premium per capacity after July 1, 2024.
  • Existing customers without an Enterprise Agreement (EA) will be able to renew their Power BI Premium capacity subscriptions until January 1, 2025. Customers who have a renewal date after January 1, 2025 will need to replace their Power BI Premium capacity subscription purchase with the purchase of Fabric capacity at the end of their agreement.
  • Customers with an existing EA agreement can continue to renew their Power BI Premium capacity purchase annually until the end of their EA agreement. If the end of the existing EA agreement is after January 1st, 2025, they will have to transition to Fabric capacity once the agreement has ended to continue using Microsoft Fabric.
  • Customers on a sovereign cloud will not be impacted by this retirement as they do not currently have access to Microsoft Fabric. We will provide additional information as soon as it’s available.

You would need to migrate from PPU to a proper Premium or Fabric SKU.

So If I switch to fabric will it I able to give access to users without buying any licensce or trial versions? Also, will it charge on usage base or it will be free for usuage charge (as per business user prespective). with only license for publishing the reports on fabric

It will charge you based on usage. The business users will not see that, for them it will appear to be free.
