Sharing Reports to External Partners

Hi,

I need to create 150 different reports every quarter and each of them needs to be delivered to a specific external partner. I am new to Power Bi, but before I dive in, I would like to know two basic questions:

1) I read that it is possible to share it with external partners that do not have a Power Bi account, so part of my problem is solved.

2) Is it possible to restric access to the reports to only those who need to see it?

Thanks,

Juliane

Hi @Anonymous ,

short answer:

If you use Power BI Cloud than its possible ;).

1) You must set the configuration in your Power BI Desktop (in the Options & Settings) on -> Export Data Desktop.jpg

"Dont allow end users ...." 🙂

2) You set up a RLS in the Power BI Desktop for the access (dynamic RLS: https://radacad.com/dynamic-row-level-security-with-power-bi-made-simple)

Best,

Kathrin

Short Question, you have a Power BI Report Server? Than it is possible but the solution will be not as easy as it were in Power BI Service (Power BI Cloud ;).

Hi Kathrin,

Thank you so much for replying to my post.

As I mentioned before, I am a new user of Power BI. I have been using it for 2 months. So far, I have only installed Power BI Desktop and created a report. The thing is: I was planning to apply report level filters to this report and save 150 different versions (one for each client), as a static PDF file and then share it with the clients using a data room (which is paid and provided by an external company).

As I read more and more about Power BI, I am now considering if I can solve the entire problem using Power BI capabilities and have in a place an efficient way to create and distribute my reports.

My requirements are:

1) Once I create the report, each client (despite of having a Power BI license) must be able to access it, but must not have access to the underlying data nor have the ability to edit the report.

2) Each client must see the report with the report level filter that is specific for them. For example, I filter the report for client 1 and client 1 must only see the report with their specific filter.

All I need to know if this is achievable with Power BI. I work for a very large organization and they would provide me with licenses or whatever is required. Before I actually ask my company for it, I need to know if I can solve my problem. If I the answers is yes, I will get all licenses and reach to the right people to get the solution implemented.

I could dig deeper and read several articles for the answer, but I am trying a shortcut here!

Thank you so much for helping me and please stay safe wherever you are!
