Share Reports in Power BI Report Server

Hello Community,

Thank you in advance for giving your time.

 

I have reports in the Power BI Report Server which I can access using my Windows account. And, from my understanding it uses Windows AD, and any user on my machine can access the reports if I give permission. However, I cannot create any new users with PBIRS limiting it to only users who have an account in my machine. Creating separate users for each person who accesses the report seems too much work.

 

I found that I can update rsreportserver.config for custom authentication but couldn't understand it. If I want to provide access to users without having to create an account for each into the PBIRS host machine. How can I do that?

Power BI Report Server is usually installed on a server, not on your local desktop. And it's usually joined to a windows domain and you can then just add users or groups from that domain. It's not normal to create accounts on the machine hosting Report Server.

So then why are you using the on-prem Report Server? The cloud version is cheaper and has more functionality and will integrate natively with your O365 logins

If I haven't joined any windows domain, can I share the reports with other users??? If yes how?

 

Edit: I read a few articles and from my understanding, I can use custom authentication if I don't have Windows Domain, is that right?? If that's true, some tutorial videos or sample codes would be appreciated.

What mechanism are you using to identify users in your enterprise without a domain? How do you authenticate users at the moment for things like shared network drives or internal web based applications?

We are using Office 365 right now. We don't have any onprem shared network drives or internal applications.

Power BI Report Server is not for me, it is for clients.

 

If the clients are using shared drives, then they are using some kind of domain and I will have to use that domain to add users to the power BI Report Server. Is that what you are saying?
