Upgrading to F64 and current PPU Workspaces

Hi,

I have migrated our Synapse data flows and data lake into Fabric, and rebuilt existing PBI dashboards using the data in Fabric rather than the old ADLS lake. This is to decommission Synapse and reinvest the money into upgrading to a F64 and get the benefits of this subscription (CoPilot, PBI licenses etc.)

We have another department that have their own databases (not in Onelake, Fabric, synapse etc.) with Power BI reports built off this data, and stored in a PPU workspace, still in the same tenant/organisation.

If I upgrade to an F64 and remove the PPU licenses that users currently have, will they still be able to access these PPU workspaces if the data is not in Fabric?

Thanks in advance,

BW

Hello @bw_chec

A workspace set to Premium Per User (PPU) continues to require PPU licenses, even on a tenant with an F64 capacity. To make it possible for users without PPU licenses to view its Power BI content, you do need to move the workspace itself from PPU to the F64 capacity. Once you assign the workspace to F64 (or larger) and place those users in the viewer role, they can consume the reports using only a Fabric (Free) license, regardless of any original data source.
Below are the general steps:
1. Open the intended workspace’s settings.
2. Switch its license mode from Premium Per User to the F64 capacity.
3. Assign users to the viewer role if they only need to read reports and dashboards.

Hope this helps.
