Org apps per app and workbooks with custom message function

We stilll have a gap in the access messages feature in Power BI in 2026 - lets see if we can muster enough upvotes to change it!

Semantic models can have a unique access message on them, however workbooks cannot have a unique access message on them.

If you host hundreds of Power BI reports, the administration on the dreaded default "I would like access" message is no fun.

Users today have their own sharepoints, documents, why cant we have the functionality on customization of that dreaded access message?

 

 

Yes you can use the app to change it in a workspace, but the issue with that is only one app per workspace is allowed.

Why should users opt to add more workspaces making topologies more complex when they need not have to be that way.

Org apps is introduced 2026 which allows multiple apps per workspace - but only one access message is allowed.

This should be a standard in apps if were moving that way, each app should be capable of having a customized message per app. We get user complaints all the time on this subject, from the many posts even this one as solved so do others.

 

Two things i would like this idea to change which would give a gain to anyone who administers a workspace.

1. Workbook access message customization for those who dont want to use the app as standard in 2026.

2. Org apps to include custom message per app as standard in 2026.

 

What do we need to facilitate change?

I shouldn't have to build custom powerapps (and then instruct my dashboard owners to IGNORE the powerbi access requests) in order to leverage Security Groups for access management.  Custom access request messages should be available for Semantic Models, Apps, OrgApps, and evey type or Report/Exploration.  I should then be able to specify whether the request is even logged/tracked in PowerBI.

Right now I've got hundreds (or even thousands) or unactioned access requests and no way to get rid of them without freaking users out.

@timothyeharris I agree that every kind of consumable resource, for which access can be managed with AD Groups or for which RLS security can be implemented should allow to customize the access request message.

 

As far as I know we could deactivate the default message altogether for PBI reports, but that would be very suboptimal as well as users attempting to access the report via shared link would not know where to request access at all. So now we just have a Power Automate flow that responds to every access request that comes in (via Email) and redirects the users to wherever they should actually request access. Painful workaround.

@MicrosoftUser42We did something similar... we force a service account to be an owner/contact on all the reports so we can intercept the access request emails and then send the user through our access request forms. It's a kludge.

@timothyeharris That's interesting, how did you do that / what kind of service account is that? Currently I have to be set as contact for every Power BI report that we manage this way.
