Power BI Embedded Licensing for SaaS Application - Need Guidance

Hello Community,

I'm embedding Power BI reports (connected via Gateway to VM database) in a SaaS web application. Currently working in development with my Power BI Pro license.

Scenario:

  • 50+ external customers will access embedded reports in production
  • Currently seeing "free trial capacity" message on reports

Questions:

  1. Will end users be able to view embedded reports without individual Power BI licenses?
  2. What licensing should I purchase for this scenario - Power BI Embedded (Azure) or Premium Per Capacity?
  3. What are the steps to move from free capacity to production-ready embedded solution?
  4. Any specific considerations for using Gateway with embedded scenarios?

Hello @rpatil0310 ,

 

1- If you use App Owns data embedding, which is standar SaaS scenario, it works. But reports must run on Embedded/Premium/Fabric capactiy. With that users do not need any license. But if your report stay on Pro / Free capacity, every viewer needs pro.

 

2- Power BI Embedded ( A SKU) is best choice for SaaS. It is designed for external customers and you only pay for computing not for users.

 

3- Create embedded caoacşty from Azure Portal. After that you can assign workspaces to capacity. Use a Service Principal authentication. Implement App Owns Data embedding. 

 

4- Gateway works tha same.
