avoid blanks while applying roles on power bi level

Hi Team,  we have different premimum capacities and each capacity assigned some workspaces and we need to implement same kind of roles on Power bi level, for example person A having Premimum capacity1 along with assosiated workspaces assigned to that capacity so when we test report for specfic person we need to apply roles as who having the capacity 1 and that workspace only access ,other workspaces or premimum capacities shuldn't access. right now i am testing this level but it was working on Capcity level and not working on the  workspace level and there is some blank roles also applied by default on each premimum capacity and it shouldn't show the blanks so can you please help me how to implement these roles and avoiding the blanks one.

Here are some steps and tips to help you achieve this:

Steps to Implement Role-Based Access in Power BI

  1. Define Roles in Power BI Desktop:

    • Open your Power BI Desktop file.
    • Go to the “Modeling” tab and select “Manage Roles”.
    • Create roles based on your requirements (e.g., Role for Capacity1).
  2. Set Up Role Filters:

    • For each role, define the DAX filters that will restrict data access to the specific workspaces or capacities.
    • Example DAX filter: [WorkspaceID] = "Workspace1".
  3. Publish to Power BI Service:

    • Publish your Power BI report to the Power BI Service.
    • Ensure that the dataset is published to the correct workspace.
  4. Assign Roles in Power BI Service:

    • Go to the workspace where your dataset is published.
    • Select the dataset, then go to “Security”.
    • Assign users to the roles you defined in Power BI Desktop.
  5. Test Role-Based Access:

    • Use the “View as Role” feature in Power BI Service to test the roles and ensure that users only see the data they are supposed to.

Avoiding Blank Roles

To avoid blank roles being applied by default:

  1. Check Role Definitions:

    • Ensure that each role has a valid DAX filter and is not left blank.
    • Remove any roles that are not needed.
  2. Review Security Settings:

    • Double-check the security settings in the Power BI Service to ensure that roles are correctly assigned and no unnecessary roles are present.
  3. Workspace Permissions:

    • Verify that workspace permissions are correctly set up and that users only have access to the workspaces they need.

Additional Tips

  • Documentation: Keep a detailed documentation of roles and permissions for easier management and troubleshooting.
  • Regular Audits: Periodically review and audit roles and permissions to ensure they are up-to-date and correctly applied.

If you follow these steps and tips, you should be able to implement the roles correctly and avoid any blank roles. If you encounter specific issues or need further assistance, feel free to ask!

This basic things are already tested and need to avoid blanks all the capacity levels , we need to implement roles who having theire capcity access along with workspace
