The error "We couldn't authenticate with the credentials provided" usually indicates a failure to validate your identity against the data source or service. Here are the most common causes:

Cached Credentials (Most Common): The application may be trying to use stored, outdated credentials. To fix this, you should clear the "Data Source Settings" within the specific app (e.g., Power BI Desktop) or remove relevant entries from the Windows Credential Manager.

Authentication Method Mismatch: This happens if the wrong authentication type is selected—for example, trying to use "Basic" (username/password) for a source that requires "Organizational Account" (OAuth2).

Permissions and Licensing: The user might not have the required access level for that specific data source, or their Microsoft 365/Power BI license may have expired.

MFA or Network Blocks: Multi-factor authentication (MFA) may be failing or timed out, or a VPN/Firewall might be preventing the application from reaching the authentication server.

To provide a more specific solution, please clarify the context: Which application are you using, and which data source are you trying to connect to? If the issue persists after clearing credentials, you should contact your IT administrator or open a Microsoft support ticket.

The authentication error happens because the Power BI report was originally created in a different user environment and uses several data source identities, including SharePoint and a mapped network drive. When you select Transform Data, Power BI tries to check all the data sources together. Mapped network drives are specific to each user and machine, so if another user tries to access the report, they may not have the same drive available. This prevents Power BI from matching the data source identities and leads to a generic authentication error, even if the credentials are correct.

 

To fix this, update the data source setup so all sources are accessible in the same way for every user. This usually means replacing the mapped network drive with a SharePoint or OneDrive connection, or using a UNC network path that everyone can reach. Once the sources are consistent, Power BI should be able to validate them and the error should go away.

 

If the problem continues after updating the data sources, consider reaching out to Microsoft Support for help with tenant-level authentication settings, security policies, or Power BI service logs.

Thank you for such a thorough answer.  I have tried some of your suggestions but am still having issues

 

I have provided more specific information below:

 

I am using PowerBi to update Reports created by my colleague.  The data for one Report is in Sharepoint, the other data source for another Report is in the G:\drive.  When I click on Transform data, I keep getting the message below:
