Unable to Save Changes in PBIX File when shared

Hello,

I have shared a downloaded PBI report with its tables into Onedrive and shared it with my boss so he can work on it and test his trials before I publish something he wants me to.  Unfortunatelly he says he is not able to save his changes, eventhough I gave him editing rights and this file has not been shared with anyone else.  Am I missing something when sharing?  Any help would be greatly appreciated.

    Hello v-karpurapud ,

     

    Yes, the issue has been resolved.  It had to do with the outdated version of PBI my supervisor had.  He deleted it and reinstall the app and now he is able to edit and I published it as the steward for the online APP.

     

    I appologize it took so long to respond.

    First of all how is you sharing the file with your boss.

    1-Check One Drive Permission.Ensure the shared link is set to Can Edit and not Can view only.
    2-If PBIX File is open in your desktop, it the files could be locked.So at first you need to save file and then he can open the file.

    Workaround Around.

    1- Save your PBIx file in Share point site and provide access to your boss to that sharepoint site.

    2-Open the blank PBIx file and then from inside the PBI file there other person can open the file saved in shrepoint ,he can perform the work and save back, after that you can open the file and do the required changes. as shown in the screenshot.

    3-Local copy workaround. Ask your boss to download the PBIX file, make his changes locally, and then either save it under a different name or upload the updated version back to OneDrive.

    OneDrive editing rights won't fix this. PBIX files can't be co-authored or saved back through OneDrive like Excel can.

    Have your boss download a local copy, edit, and save on his own machine, then send it back. For real collaboration, use PBIP format with Git or a shared Premium/Fabric workspace.

      Can he do that from the PBI App or does he need to access the Workspace?  Please advice

    PBIX cannot be saved back to OneDrive from Power BI Desktop, and Microsoft only documents local save for PBIX. The safe way is he downloads the file and edits it locally.

      So if I download it from the report from the online workspace into Onedrive will that work?

      Hi Kagiyama_yutaka ,

       

      For me the actual file that aI use to modify the report is saved in my Onedrive where I have shared with others.  They do not have steward priviledges to publish to the app so I do it.  I able to always save it back to my onedrive.  My boss had issues with an old version of PBI on his desktop, once he isntalled the new one all is working.  Thank you for your replay.

  • Hi Roger,

     

    One possibility is that your boss has editing rights to the OneDrive file but is opening the PBIX file in a way that doesn't allow collaborative editing. Unlike Word or Excel, Power BI Desktop files (.pbix) generally don't support multiple users making and saving changes to the same file simultaneously. In many cases, the file must be downloaded locally, edited, and then saved as a separate version before changes can be shared back.

    You may also want to verify that the file isn't marked as read-only and that your boss has full edit permissions within OneDrive. I'm interested to hear if others in the community have found a better solution for collaborative PBIX development.
