Suggestions for Building an IT Portfolio Roadmap (3 Years, Strategic Initiatives & Projects)

Hi PowerBI Community,

 

I’m working on creating our IT Portfolio slide for the next 3 years. We have about 8 strategic initiatives, each with multiple projects underneath.

I initially tried using Office Timeline+ in PowerPoint, but it limits me to showing only 2–3 projects per strategic initiative (as shown in the attached screenshot). My manager wants to display as many projects as possible under each strategic initiative, mapped out quarterly over the next 3 years.

We also need to produce two versions:

  • A high-level version for C-Level executives

  • A detailed version for the IT department

I’m looking for ideas or tools that could make this easier. For example, would Power BI be a good option? Or perhaps another Microsoft or free tool that can handle large-scale timelines and grouping?

Any suggestions or examples would be greatly appreciated.

I’m sorry, but if I already had the desired output, I wouldn’t have posted this on the forum. The reason I posted here is that I’m unable to develop the expected output, and I can only share screenshots of what I’d like the dashboard to look like. If you cannot proceed with this, then let’s close the thread, and I’ll try other avenues to get it done.

I have added some sample data using the “Add Table” option in this reply. Thanks for sharing that link.

Per this link, "https://community.fabric.microsoft.com/t5/Power-BI-Community-Blog/How-to-provide-sample-data-in-the-... ", You might have seen posts here in the forum where files are directly attached and have searched for the button to do exatly that. But unless you're a Microsoft employee or a super user this feature will not be available for you. Instead you have to upload your file to a cloud storage (like OneDrive, Dropbox, Google Drive or Wetransfer for example) and paste the link to that storage location in the post.

That’s why I uploaded my file to Google Drive and shared the link with you. 
In any case, I’ve added a table here with some sample data.
Now, let me reiterate the problem I’m facing and what I’m trying to accomplish (through a Power BI dashboard, which will then feed into a single PowerPoint slide):

Current Challenge: When creating a single slide for C-level executives, I’m unable to fit all the projects into one slide. However, leadership wants to see as much as possible consolidated into a single slide for the IT Roadmap covering the next three years (including data from the past 2–3 years, if available).

Note: There are more than 20–30 project entries per strategic initiative. I have just added a few strategic initiatives here just for you as Sample Data. 

Expected Output:

  1.  I would like to create a presentation-ready Power BI dashboard for our executives to view the IT portfolio for the next three years, broken down by quarters (Q1, Q2, Q3, Q4). This should include the programs and projects that began in 2023, 2024, and 2025 too.

  2. The dashboard should display the information by strategic initiatives. For example, if the strategic initiative is Business System Automations – Innovation, the dashboard should show how many projects fall under it.

  3. I have also included a sample .jpg image to illustrate how I envision the dashboard. It should have the capability to show a high-level summary for executives, as well as detailed and granular information for project teams. (with filter and slicer options specific for the audiences)

  4. In the future, I would also like to track the budget, cross-project dependencies, and a resource heatmap.

Since I don’t see an option to upload a .xlsx file here, I’ve uploaded it to my Google Drive and created a shareable link for you. Please refer to the Projects tab. Projects excel 

Let me know if you’re able to access the file. Also, if you know of another way to upload the file directly here (in the forum), please share that tip as well. Right now, I only see an option to insert a link (see the attached screenshot).

Thank you for sharing the links. I have reviewed them and tried working on this myself, but I have not been able to perfect it to the level where I can present it to my C-level executives. Attached is the Excel file screenshot I am working on and the output I am trying to create.
