Question regarding scheduled refresh and on-prem datasource

I have a report in Power BI Desktop with a SQL server as datasource.  I published the report to Power BI, but when attempting to refresh, received 'datasource is missing credentials...' error.

 

I installed the (personal) gateway, signed into the gateway, and was able to update the connection in Power BI with the database login credentials.  Refresh is now working.

 

Now I see multiple connections in the semantic model settings.  The Personal Gateway is new, and shows that it is running on my computer.  The other connections are onprem data gateway connections already in place when report was published.  They all show 'Not configured correctly', but all I can do with them is create a new connection (add to gateway) which is pointless because I already have a connection in place.

 

My question is, with the scenario described above, where datasource is an onprem server, PBIX file hosted on my laptop, and published to Power BI, does that mean my laptop has to be online for refresh to occur?  I am also planning to configure scheduled refresh, but if my laptop needs to be up for refresh to occur, what would be the point?

 

Another reason I'm enquiring is because I seem to remember publishing similar report with onprem server as datasource in the past (distant), and IIRC was able to manual refresh and configure scheduled refresh without the need for personal gateway.  IIRC, at the time, the default gateway connections showed 'Not configured correctly' as well, but refresh worked without further configuration required.  However, this was a long time ago, and the report is no longer available, so I can't confirm this.

 

Appreciate any advice on this.

    You On-prem gateway must be installed on server where your actual SQL server is installed. On-prem gateway has to be online when refresh is happening (24*7) usually available. 

    Installing Peronal gateway on your system is of no use because your data is actually on server not on your system. Personal gateway is needed usually when you are connecting you local file ex Excel to PBI and try to refresh from the service. When you schedule your refresh on non working hour on Personal gateway. It wont work because it need your system to be up and running then only your Personal gateway will be active and your schedule refresh will take place.

    If your On-prem gateway is already installed by someone else then ask them to share the access.

     

    as you can see Single gateways is shared by multiple users. Owner of the gateway need to give you access so that you can able to add your own data source and schedule refresh.

    When you are refreshing a data from PBI desktop you dont need any gateway. Its called manual refresh from desktop. You can manually refresh the data from desktop multiple time and publish it without any issue. You dont have to configure any gateway in this case.

     

    If you want to take a refresh from PBI service then you have to setup a gateway and add proper data sources with credential ,then only you can able to refresh from the service and put your report on auto schdeule refresh.

     

    For personal gateway your system must be up and running at the time of schedule refresh.

     

    On-prem gateway you cloud server must be up and running ( handle by cloud/ Thrid party/ support team) or could be ( AWS, Azure etc) - does not required gateway to be installed just like sharepoint, teams data source.

     

    I hope I have cleared your doubts.

    Honeslty, I've nevered used the personal gateway version. I used the standard. But to answer your question regarding refresh, yes, your device must be on and must be connected to the internet for the scheduled refresh to work. The gateway serves as a middleman between the on-prem data source and Power BI and without this middleman, there's no way for the service to access your data. Gateways are normally installed in a device that's always online.

    If you are using the Personal Gateway, your laptop must be online for scheduled or manual refreshes to occur because the gateway establishes a live connection between the Power BI service and the on-premises data source.

     

    Using an On-premises Data Gateway (Standard): To avoid this dependency, you should use the On-premises Data Gateway (Standard). This gateway can run independently on a dedicated server, eliminating the need for your laptop to be online.

     

    When you use different credentials for the same data source across multiple attempts, Power BI creates separate entries in the gateway for each credential combination.
