Making Dashboard Editable

Hi All,

I would like to check on the following.

I am currently using Power BI Desktop to create my dashboards.

 

My raw data are stored in my organisation's one drive.

 

Is it possible to share the Power BI file to my colleagues so that they can edit them? This is because, most of the users are okay with what I created but some users need more then what I have created. I do not want to keep making additional changes for specific users as this will promote more adhoc requests.

 

Instead, what I wanted is that I will ingest all of the data in PowerBI. These data are taken from the one drive location that is accessible by everyone in the organisation and the different users can use the data ingested in power BI desktop to create whatever additional reports they want or to add on to what I already created (ignore the fact that the user need to have Power BI skills).

I came accross the following KB:

This KB shows that it is possible to share with colleagues. Correct me if I am wrong, the report needs to be published in 'My Workspace" for it to be edittable. If my organisation do not allow publishing the reports to a location outside of the the organisation, would this still work? Any other alternatives?

If you don't want to publish it to the Cloud you cannot use Power BI Service and publishing to workspace feature.

 

What you may want to do is to share .PBIX file with them by saving this in relevant SharePoint/OneDrive folders. However, this would be quite limiting Power BI Experience... Keep in mind that Power BI Desktop (.PBIX) is rather for designing reports, not for sharing.

 

Remember that even publishing to My Workspace is still publishing the data to Microsoft's Cloud.

There's about a million ways that you can let users modify aspects of the report. You should be publishing it to a workspace either way, so that they don't need PBI Desktop installed to open it. Once it's published, you can share it with them and they can:

 

  • Create their own reports based on the dataset
  • Create personal Power BI bookmarks with their own sorts/filters
  • Personalize visuals
  • Interact with field parameters, which can give a dynamic experience
  • Analyze the dataset in Excel
  • Pin pieces of the report they use to their own dashboard

You can also customize what each user sees via row-level security

Thanks for your replies.

My main constraints now is that my organisation does not want the report to be publish on any cloud services. 

If I were to upload the pbix file in my organisation's sharepoint/onedrive/ Microsoft Teams, will this share function still work?

Sharing feature is only avialable in Power BI service.
You can create the Sharepoint or onedrive folder and manullay upload the pbix file there and share the onedrive folder link with your end user.

My workspace is useful when you want to save your personal files or practice files in that workspace.
using different workspace for sharing purpose is always recomended.
For your requirement, use Personalize feature . it can help you to provide a editable option to your end user as per their needs.

they can modify the pbix file and upload it in your workspace only if you have fiven them admin or member access to your workspace. this way you can collaborate with other team member , i suggest you use the different workspace for dev , QA adn prod dashboards as it will not disturb your workflow and dashboard user's experience while dashboard is under maintenance.

Is "My Workspace" cloud based or it will be stored on the premise of the organisation?

It is cloud based, 

i didn't pay attention to "My workspace" word, to use this workspace they need to use your credentials to upload the pbix file, otherwise you have to create a diffrent workspace for collaboration, apologies, my bad
