Limit/custom the data import from Salesforce objects

Good day,

With Power BI Desktop, I am accessing Salesforce objects and import Salesforce data from Online Services -> Salesforce Objects connector.

For a Salesforce report, is there a way to limit/custom the data import by the columns (for example, limit the data import with only certain keywords in the "Name" column).

Thank you.

  • Hi JohnDahis ,

By my research, I'm afraid that we may not get data from Salesforce object with limit column name.

We could import the data and then delete the column you don't need in Query Eidtor.

    Best  Regards,

    Cherry

v-piga-msft thank you for the reply.

What I am looking for is the way to limit the number of rows. Hope in future that's a way. :)

  • Hi JohnDahis As a workaround, maybe you can try to test your connection with a 3rd party connector. I've tried windsor.ai, supermetrics and funnel.io. I stayed with windsor because it is much cheaper so just to let you know other options. Also, I can apply some filters to fields or date range before exporting to PBI, so it seems is what you are looking for. In case you wonder, to make the connection first search for the Salesforce connector in the data sources list:

After that, just grant access to your Salesforce account using your credentials, then on preview and destination page you will see a preview of your Salesforce fields:

There just select the fields you need. It is also compatible with custom fields and custom objects, so you'll be able to export them through windsor.  Finally, just select PBI as your data destination and finally just copy and paste the url on PBI --> Get Data --> Web --> Paste the url.

JohnDahis with the native Salesforce Objects connector, the UI path is limited if you need clear source-side row filtering before the data reaches Power BI. You can reduce model size by selecting only the fields you need and avoiding unnecessary relationship columns, but if you need to filter rows by Name, date, status, owner, or another Salesforce field before import, a SOQL-based or prepared-source approach is usually cleaner.

Power BI Connector for Salesforce by Metrica Software can help with this:
    https://appexchange.salesforce.com/appxListingDetail?listingId=31526f0e-abd8-4cb5-bd1a-3bd56b5c0577

It lets you prepare Salesforce data sources, select objects and fields, apply filters, preview the output, and use SOQL mode when needed. This gives more control over what is exported to Power BI.
