Help with Sharing Reports

I am using Power Bi Desktop to produce a series of reports that I now want to share with two of my colleagues in a local charity.  The data for the reports is derived from CRM and Excel files, using direct links.  It is important for my colleagues to have access to the reports, using SharePoint/Teams and to be able to refresh the data from within each report.

Can we achieve this with Desktop or do we need to subscribe to Pro or another upgrade option?

Hi, @BattPS

Yes, you can share Power BI reports with your colleagues using SharePoint or Teams. You can publish your Power BI report to the Power BI service and then embed it in a SharePoint page or Teams channel. Your colleagues can then view the report and refresh the data from within the report.

To embed a Power BI report in SharePoint or Teams, you can use the Power BI web part for SharePoint or the Power BI app for Teams. The Power BI web part allows you to embed a Power BI report in a SharePoint page, while the Power BI app for Teams allows you to embed a Power BI report in a Teams channel.

To refresh the data in the report, your colleagues will need to have access to the data source and the necessary permissions to refresh the data. If the data source is an Excel file, they will need to have access to the file and the necessary permissions to refresh the data. If the data source is a CRM system, they will need to have access to the system and the necessary permissions to refresh the data.

You do not need to subscribe to Power BI Pro or any other upgrade option to share reports with your colleagues using SharePoint or Teams. However, you will need a Power BI license to publish reports to the Power BI service and to use the Power BI web part for SharePoint or the Power BI app for Teams.
