Help with Power BI Report Builder - Keeping Tables Together in PPT Export

Hey everyone, I’m working on a Power BI Paginated Report (Report Builder) and running into issues with PowerPoint (PPTX) export formatting.

Goal:

  • Each Team Name should be on its own separate slide.
  • Three tables (Activities, Objectives, Accomplishments) should stay together on the same slide per Team Name.
  • No tables should split across multiple slides.

Issue:

  • I’ve grouped by Team Name and added a Rectangle to keep tables together, but some tables still shift to the next page/slide.
  • Tried "Keep Together" settings and Page Breaks "Between each instance of a group", but still not working consistently.

What I Need Help With:

  • Ensuring that all three tables stay together on one slide per Team Name when exporting to PowerPoint.
  • Any best practices for page breaks/layout in paginated reports to avoid misalignment.

Hi @sixsigmaeng ,

To ensure that all three tables (Activities, Objectives, Accomplishments) stay together on one slide per Team Name in Power BI Paginated Reports (Report Builder), follow these steps:

1. Use a Rectangle to Keep Tables Together

  • Wrap all three tables inside a Rectangle to ensure they are treated as a single unit.
  • This prevents individual tables from breaking across slides.
  • Steps:
    1. Insert a Rectangle (Insert → Rectangle).
    2. Drag all three tables inside the rectangle.

2. Set "Keep Together" and "Keep with Group"

  • For the Rectangle: Select the Rectangle → Go to Properties → Set "Keep Together" = True.
  • For the Group (Team Name):
    • Right-click the Row Group (Team Name) → Group Properties → Page Breaks
    • Check "Between each instance of a group" to ensure each team is on its own slide.

3. Adjust Table & Page Layout to Prevent Splitting

  • Set Page Size and Margins (Avoid oversizing tables).
  • Reduce row heights and padding to fit all content within one slide.
  • Ensure tables are not extending past the page width or height.

4. Use "Fit to Page" in PowerPoint Export Settings

  • Before exporting, check Report Properties and adjust the Interactive Size to match PowerPoint slide dimensions (typically 13.33in x 7.5in).
  • When exporting, use “Fit to Page” to prevent content cutoff.

Currently, the pagination issue you are encountering is generally due to formatting problems. As rohit1991 suggested, you can check the format settings. Additionally, ensure that the report body width does not exceed the page width minus the sum of the left and right margins, and avoid inserting separators within groups.
