Exporting of Underlying Data issue

Dear All, 

 

Issue: Despite publishing a report with the underlying option enabled to export data, even I as the admin cannot then export data from the tables.

I think this might be to do with publishing originally with the do not allow setting. Which unbeknown to me even if I then change this to allow, the report still does not let you export data. 

 

Trouble shooting: I have been through this post:

I have also read and re-read a numebr of posts about this issue on this forum with the only "solution" being to re-make the report entirely from scratch and make sure not to publish the report without the export option being enabled first, if a report is published with the Do Not Allow option enabled first, that is set FOREVER, even if we change the options, refresh the report, re-publish, I still cannot export data?

I have checked the workspace settings which shows:

I have two reports in the same workspace, one report I CAN export from, the other I CANNOT. All that proves is the issue is with the individual report which I cannot export from. 

 

If I have to re-create the report it is a good 2-3 hours, I would imagine with how far powerbi has come we would be able to enable/disable the export option much smoother with just a refresh/re-publish rather than have to fully re-create a report.

 

In my company, I ideally want only managers to be able to export data, therefore they get their own report in one workspace with the export option set to allow, and standard users get a report in another workspace which is set to do not allow. 

 

Are we really still in a position where we cannot simply change the report settings to enable/do not allow, update the report, re-publish and it actually work? 


And if that is the case, how can we put it forward for this to be changed and work seemlessly?

Hi All,

 

Final post, having tried to copy/paste visuals in to a new tab, save, publish, this still did not allow the 3 dots to export data. 

 

Something funky goes on with powerbi with permissions, I had to essentially completely re-create all the tables/visuals and save with the options to download enabled, then it works. (Note, you can copy existing buttons and cards over, since you're not exporting those)

 

If you're reading this and like me you have published a report which you set that people could not export data from, then you need to re-pubnlish it again after turning the options on to download, the ONLY fix is to fully re-create your entire tab (can be within the same report as I have found out) without copy/pasting your visuals over. Somehow copying those still stops them being able to be exported! 

 

I think this really should be addresses by the powers that be to make it seemlessly work when changing permissions, it makes zero sense for the options not to work AFTER you have set them to not allow and re-puiblish the report.

Thanks audreygerred  for the quick reply. I have a few thoughts I'd like to add:

1. First please open the following settings in the Power BI Admin Portal.

2.  Open the PBIX file, change the settings to the Allowed option, click OK, and then click Save to post to Workspace 1.
3. Open the PBIX file again, change the settings to the disallowed option, click “OK”, and then click Save to post to Workspace 2.

I can get that working if I create a new tab, but my existing report tabs do not allow the export data, how strange:

 

This shows my Page 1 tab CAN export:

Within the same report, the Summary 10-30 Base tab, CANNOT export, there is no 3 dots:

I think my only option is to re-create my tabs from scratch, i will try to copy/paste visuals first to see if that works, but I have the feeling I need to re-create the tabs and then this might work

While this suggestion won't help with the underlying issue of the change to settings not changing the behavior, rather than recreating the report from scratch, you can copy from one pbix to another. Open your original, do a Ctrl+A to select all elements on a page, then Ctrl+C to copy, then head over to your new file and paste them in. The only think you will have to manually add back in are any page or report level filters in the filter pane.

I failed to mention i did try that, opened up a new blank report, copied all my existing layouts from one to the other, added all my tables back in, and relationships, had to update buttons etc. 

 

I published that report and still could not export data

 

However, I will retry to double check!
